About The Position

This full-time grant-funded position is funded until June 30, 2028. It provides administrative support to the PD and Co-PDs of the Barry University CRAFT Scholars -- Cultivating Resilience Through Agriculture and Food Training Program. This is an undergraduate scholarship program that also provides academic support and off-campus experiences for 30 scholars from low-income backgrounds. The Craft project coordinator also provides support to the Associate Dean in oversight and timely scheduling of all aspects of the program, including event coordination, marketing, and general logistics, from one-day seminars or field trips to larger, multi-day group travel. The coordinator will manage the day-to-day activities of the CRAFT program, coordinate student and faculty schedules, input budgetary items, maintain documents in an organized way, coordinate travel arrangements for student and faculty travel to meetings, USDA field sites, summer internships, and coordinate travel arrangements for visiting scientists. The coordinator will work with the Associate Dean to liaise with Financial Grants Management and document spend authorizations and expense reports following University and Federal policies. The coordinator will input activity pay for summer faculty, and help to ensure completion of evaluation surveys and interviews of scholars with the external evaluator from UF. This position is in person.

Requirements

  • A Bachelor's degree in any discipline is required.
  • 5-8 years of proven experience is required.
  • Advanced skills with MS Office, Workday, and Internet-based reporting.
  • Proficient in delivering clear, accurate, and professional communication both orally and in writing.

Nice To Haves

  • A Master's degree in Biology, Ecology, Agricultural Science, or Social Science is preferred.

Responsibilities

  • Provides Administrative Support to the PD, Barry CO-PIs , and Associate Dean
  • Attends, records, and maintains minutes for all leadership team meetings & scholarship team meetings.
  • Helps to coordinate logistics of program activities, including creating and posting flyers and program information as needed, and works with University staff in Marketing and Financial Grants Management to accomplish program goals.
  • Ensures planning milestones are being met on time
  • Assists in gathering relevant information for preparing the annual reports, including collecting receipts, evaluation summaries, demographic information, & outcomes.
  • Coordinates travel arrangements for students & faculty, and for invited speakers
  • Arranges transportation and logistics for the participants to travel to field trip sites (e.g., Washington DC, UF, and extension sites).
  • Helps coordinate internships with UF Extension, USDA locations, or local agribusinesses and farm sites (including housing if needed).
  • Contact students and research programs for relevant information, including housing.
  • Prepares travel arrangements for visiting seminar speakers by making appropriate flight arrangements if needed; finds suitable accommodations for speakers if necessary.
  • Creates expense reports for these activities on Workday & reconciles travel.
  • Collects event feedback from participants
  • Submits marketing tickets or works with Marketing liaison to update Craft Scholar website with announcements, stories, and photos (gathers and maintains releases).
  • Helps the PD and Associate Dean to manage budgetary matters by checking expenditures in the budget, ensuring correct allocations of items charged; request budgetary amounts for transfer to correct item lines.
  • Works with Financial Grants Management as needed.
  • Enters information into Workday.
  • Collects Scholar information about student progress and distributes it to the scholarship committee every semester, and schedules scholarship committee meetings in a timely fashion.
