About The Position

To oversee processes involving the management of academic records, enforce academic rules and regulations as defined by university academic operating policy, produce official student transcripts, and to disseminate information to the public while maintaining confidentiality of records and information as outlined by the Family Education Rights and Privacy Act (FERPA). Mississippi State University is an R1 institution with very high research activity. The Michael W. Hall School of Mechanical Engineering is one of eight academic departments in the Bagley College of Engineering. The Mechanical Engineering School’s faculty research expenditure is approximately $15.2M annually for 20 tenure/tenure-track faculty. The Mechanical Engineering School offers an ABET-accredited undergraduate program in mechanical engineering, as well as graduate studies leading to M.S. and Ph.D. degrees. The Mechanical Engineering School has approximately 1,140 undergraduate and 100 graduate students and has the largest student enrollment within the Bagley College of Engineering and 2nd largest within Mississippi State University.

Requirements

  • Bachelor's Degree.
  • 2-4 years related work experience.
  • Any equivalent combination of related experience and/or education approved by the Department of Human Resources Management.
  • Ability to evaluate student transcripts and/or records.
  • Ability to complete routine paperwork.
  • Ability to follow routine verbal or written instructions.
  • Ability to maintain confidentiality of records and information.
  • Skill in the use of personal computers and related software applications.
  • Records maintenance skills.
  • Ability to sort, check, count, and verify numbers.
  • Ability to work effectively with diverse populations.
  • Knowledge of the rules, regulations, and laws regarding student records.
  • Ability to communicate with and provide routine assistance to customers.
  • Clerical, word processing, and/or office skills.
  • Knowledge of customer service standards and procedures.
  • Skill in the use of operating basic office equipment.

Responsibilities

  • Provides academic advising for all incoming and continuing undergraduate students in the programs.
  • Meets with prospective engineering undergraduate students and their parents and arrange building tours as requested by the Office of Admissions and Scholarships. Coordinates all undergraduate student recruitment as necessary and coordinates the ME student Ambassadors.
  • Coordinates orientation sessions for incoming freshmen and transfer students to this program.
  • Maintains undergraduate student records for the Mechanical Engineering students and related student databases. Evaluate transcripts for transfer credit and assist in the certification of all undergraduate students for graduation.
  • Responds to inquiries pertaining to the undergraduate programs and coordinates communications with prospective students.
  • Provides students with information regarding departmental scholarships, solicits applications, and assists Department Head in the selection and administration of such awards.
  • Assists the Department Head in the scheduling of engineering classes and classroom assignments. Assists students in gaining admission, as may be appropriate, to sections that are temporarily closed.
  • Supervises clerical support related to the functions of this position.
  • Assists in maintaining records and coordinating changes pertaining to the undergraduate curriculum and course descriptions. Interprets University regulations pertaining to undergraduate academics and curriculum matters.
  • Works with the ME Undergraduate Coordinator on academic issues.
  • Assists in the development of student recruitment brochures and similar material for dissemination to the public.
  • Assists the Department Head in such other matters as may be required for the successful administration of departmental programs.
  • May supervise lower graded staff and/or student employees; may participate in training and evaluative sessions and recommend methods to improve advisement activities.
  • Performs miscellaneous job-related duties as assigned.
