About The Position

Primary Purpose: Provide departmental operational management support for activities related to CHEST clinical practice guidelines and other organizational statements. Coordinate and manage multiple tasks and projects simultaneously in support of guideline development and other organizational initiatives. Communicate with other professional societies and agencies, coordinating collaboration with outside organizations, and managing organizational decision-making for external initiatives and statements. Establish and improve workflows, procedures, and policies that enable consistent and timely completion of projects. Implement, and advance the efficiency of, guideline policies and procedures, ensuring collection and archiving of all supporting documentation. Essential Functions/Responsibilities: Demonstrate a passion for crushing lung disease and embody CHEST values: honor the team, lead with integrity, leverage passion, cultivate innovation, and have serious fun. Work with departmental staff during planning, development, publication and dissemination of guidelines and statements. This includes ensuring compliance with and tracking of policies and procedures and maintaining regular communication within the CHEST team and key volunteers. Oversee the lifecycle management of CHEST guidelines and other statements, including workflow documentation and stakeholder communications, with minimal supervision. Independently coordinate and manage guidelines and other statements, including meeting facilitation, action tracking, and follow up to ensure timely completion. Serve as CHEST’s point of contact with external collaborators on guideline panels by carrying out communication and executing processes to facilitate external representation on CHEST guideline panels, including completion of MOUs. Similarly, liaise with external organizations on which CHEST guideline representatives are appointed and/or endorsement is sought. Develop and maintain schedules for project completion, including key milestones, dependencies, and resource needs. Independently monitor project progress and maintain accurate updates in the identified system (for example Wrike), communicating status, risks, and decisions to key stakeholders as appropriate. Track and report on project progress, including routine status summaries, risks, and next steps. Ensure compliance with the CHEST Guideline data governance policy to ensure appropriate documentation of all guideline processes and data. Collaborate with teams across CHEST (e.g. marketing, communications, CHEST Journal) to centralize and operationalize guideline-related initiatives and go-to-market strategies, enhancing guideline output and dissemination. Support the Director, Clinical Practice Guidelines in development of budgets, reports, and other tasks as assigned. Review, code, and submit for approval relevant vendor invoices and panel reimbursements. Assist with tasks related to organizing guidelines-related educational sessions, courses and pilot projects. Strategize with guideline staff team members, offering solutions to increase quality of work and efficient use of resources in achieving departmental goals. Requirements

  • Bachelor’s degree
  • Experience in collaborating with teams to manage projects, including demonstrated skills to execute projects under minimal supervision; and consistently complete projects in accordance with timelines, objectives, budgets, in concordance with documented policies and procedures
  • 5+ years in a corporate or not-for-profit environment with increasing responsibility and proven track record of success.
  • Well-developed communication skills (written, verbal, and via technology) to communicate with a diverse population of volunteer physicians, other healthcare communities.
  • Organizational, time management, and planning skills
  • Ability to demonstrate flexibility, adapt to change, and meet deadlines
  • Ability to work both independently and in team environments
  • Intermediate to advanced competency in the use of the Microsoft suite of software such as Word, Excel, and PowerPoint
  • Periodic travel to represent CHEST

Nice To Haves

  • Experience in volunteer-based not-for-profit environment, preferably a professional medical society
  • Knowledge of, and experience with, evidence-based guidelines and systematic reviews is highly desirable
