About The Position

Provide program records support for a large program. This role involves assisting in ensuring hard copy and electronic records are created, maintained, archived, and retired in accordance with NRO and SPO policies and processes. The position participates in efforts to update data management processes, tools, and databases, and supports SPO in updating records management structures and tools, including the file plan. The officer ensures all electronic records comply with any changes in the file plan and works with the Chief of Staff on updating and maintaining the SPO Operating Instructions. Additionally, the role coordinates with SPO Division Records Custodians (RC) to schedule and conduct training sessions on data/records management and the file plan. General office management support is also part of the responsibilities, including logistical support, typing, document review for content and format, filing, files maintenance, photocopying, scheduling meetings/rooms, and calendar management. The officer maintains hard copy original contract files, conformed copies, and electronic copies within the NRO's Electronic Procurement Exchange (EPX) Studio contract writing system, distributes contract documents to internal and external parties, and assists with invoice processing. They develop tracking systems for action items and prepare minor contract modifications and associated supporting documentation for actions such as funding, award fee, period of performance extension, and administrative modifications. The officer prepares reports as directed by the CO, Team Chief, or Senior Contracting Officer, submits expired contracts into the contract close-out process, assists with briefing charts, and reports suspected instances of fraud and other legal offenses.

Requirements

  • Bachelor's degree desired or four years equivalent work experience.
  • Minimum of 8 years of total work experience with 6 years records or data management experience.
  • TS/SCI w/CI Poly clearance required.

Responsibilities

  • Ensure all electronic records comply with any changes in the file plan.
  • Work with the Chief of Staff on updating and maintaining the SPO Operating Instructions.
  • Coordinate with SPO Division Records Custodians (RC) to schedule and conduct training sessions on data/records management and the file plan.
  • Maintain 'Gold Standard' file ensuring all files are the final most up-to-date version and do not contain track changes.
  • Provide general office management support, such as logistical support, typing, document review for content and format, filing, files maintenance, photocopying, scheduling meetings/rooms, and calendar management.
  • Maintain hard copy original contract files, conformed copies, and electronic copies within the NRO's Electronic Procurement Exchange (EPX) Studio contract writing system.
  • Distribute contract documents to internal and external parties.
  • Maintain office files within Windows NT environment.
  • Assist with invoice processing.
  • Develop tracking systems for action items and other areas as necessary.
  • Prepare minor contract modifications and associated supporting documentation for actions such as funding, award fee, period of performance extension, and administrative modifications.
  • Prepare reports as directed by the CO, Team Chief, or Senior Contracting Officer.
