About The Position

Under the general guidance of the Program Director, the Program Specialist is responsible for providing a wide range of specialized program support services to our juvenile justice-involved youth. These services include specialized administrative tasks, medication management, driving as required, data processing, and records management. The Program Specialist utilizes industry knowledge and best practices to support the mission and vision of the Human Resources organization and the institution, while also contributing to culture development efforts.

Requirements

  • High School Diploma or GED equivalency required.
  • Minimum of 3–5 years of progressively responsible experience in program coordination, project management, or youth services.
  • Experience with compliance, audits, or operational systems in a regulated nonprofit or youth care setting strongly preferred.
  • Demonstrated ability to handle confidential and sensitive information possessing skills to handle situations in a professional and diplomatic manner.
  • Ability to prioritize work in a high-volume environment
  • A high degree of collaboration and emotional intelligence, self-motivation, and analytical ability.
  • Demonstrated ability to influence,leadand manage projects in a heavily matrixed environment.
  • Excellent communication skills. Strong networker, convener, relationship builder and communicator with experience collaborating with diverse work teams and stakeholders.
  • Proficiency in Microsoft Office, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by Heartland Human Care Services.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work independently and remain self-motivated with minimal direct supervision.
  • Strategic thought partnership and consultancy skills.

Nice To Haves

  • Bachelor’s degree preferred in a related field such as public administration, social work, education, nonprofit management, or similar discipline.
  • Certifications in project management, data analysis, or compliance are a plus.
  • Multi-language knowledge and/or ability preferred.

Responsibilities

  • Coordinates and executes specialized data processing tasks, including general tasks such as word processing, filing, and screening calls/visitors, in accordance with organizational and program standards.
  • Manages specialized database entries for accurate Salesforce data collection, ensuring correct client demographics as well as intake and discharge information.
  • Oversees inventory control and processes, manages SharePoint purchases, and coordinates incoming and outgoing items.
  • Acts as a liaison with vendors and building management, resolving routine issues and escalating non-routine problems as needed.
  • Coordinates the production of proposals, applications, and reports, generating data-based reports and summaries.
  • Provides oversight and review the medication log, as well as assist with self-administration of medications.
  • Transports/escorts program participants to any location necessitated by programmatic needs.
  • Supervises and ensures safety of the youth within the program and during off site/ outdoor appointments, trips, activities, as assigned or needed.
  • Designs statistical, graphic, and narrative presentations for major documents and proposals.
  • Develops and maintains filing systems, ensuring accuracy, confidentiality, and consistency, while also coordinating staff training on software and office operations.
  • Provides oversight and review the medication log, as well as assist with self-administration of medications.
  • Support with state licensing compliance during daily walkthroughs, reviewing staff boards, and ensuring adherence at all times.
  • Implements internal corrective actions for the program whenever we are not in compliance with our policies.
  • Additional tasks may be required as they relate to the responsibilities of this position.
