We are seeking individuals who desire to use their unique skills to innovate and make an impact. This Program Support Specialist is responsible for assisting the Health Science programs with coordinating, organizing and performing the day-to-day administrative duties related to teaching, research and functions for the College of Health Sciences’ Diagnostic Sonography, Diagnostic Cardiovascular Sonography, Occupational Therapy Assistant, Radiologic Technology and Massage Therapy Programs and any future CHS programs (as needed). The Program Support Specialist serves as the liaison between faculty, students, staff, and the community. He/she will greet and assist all visitors and prospective students who come into contact with all programs involved and provide information regarding Health Science Programs. He/she will provide support to courses offered by distance education and on-ground. POSITION DETAILS: Full-time on campus position, Monday through Friday. The ability to work some evening, night and weekend hours will be necessary at times throughout the academic year. It is expected that an average of 40 hours per week will be needed, with approximately 13 hours per week allotted for each Health Science program duties. A sample schedule may look like 8:00 – 5:00 Mon - Friday.

Requirements

  • Associate’s degree and/or 2-5 years office experience required.
  • Computer literacy, proficiency in Microsoft Office suite
  • General office experience including multi-line phones; type 40 wpm;
  • Ability to work efficiently and be detail oriented and organized, with minimum supervision;
  • Ability to research options to complete tasks among departments throughout the University;
  • Coordinate multiple schedules among the Dean, Program Directors, and other employees and constituents;
  • Ability to answer incoming phone calls and forward them to the appropriate person, take complete and accurate phone messages, internal mailing, prepare informational packets for mailing;
  • Pleasant and positive telephone technique;
  • Excellent attendance and punctuality;
  • Patience with repetitive questions; constant friendly and helpful attitude.
  • Visual acuity to use a keyboard and view a computer terminal.
  • Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp.
  • May require ordinary ambulatory skills sufficient to visit other locations; or the ability to stand and walk.
  • Ability to occasionally lift, carry and/or move light to medium weight up to twelve (12) pounds and/or exert up to twelve (12) pounds of force.

Responsibilities

  • Assist the Dean of the College of Health Sciences in any projects, tasks, or duties deemed as needed.
  • Serves as a support to incoming to major students for any Health Science program entrance processes, consisting of application submission and interview processes.
  • Advise, in conjunction with Program Directors, applicants, prospective students and current students with a Health Science major focus: Diagnostic Sonography, Diagnostic Cardiovascular Sonography, Medical Assistant, EKG and Radiologic Technology Programs.
  • Advise, in conjunction with Program Directors, applicants, prospective students and future students with a Health Science major focus for new programs as needed.
  • Be familiar with program goals and observe each program’s policies and practices.
  • Maintain and record pertinent information such as it pertains to the admissions process, clinical affiliation documents/contracts and adjunct faculty contracts.
  • Provide clerical support to the programs in the Colleges of Health Sciences Department.
  • Assist the Dean and Program Directors in maintaining accreditation standards including self-study reports and site visits.
  • Manage credit card processes and report submission regarding transactions involving the programs in the Colleges of Health Sciences department.
  • Staff the College of Health Sciences - department front desk, as needed.
  • Provide student referrals for those who encounter problems that may interfere with the student’s progress through their program.
  • Maintain and update schedules and contact information of students, department administration, faculty, and staff in the data files accurately.
  • Produce and distribute a weekly report including tracking data for potential entering CHS major students.
  • Assist with arranging department Administration, faculty, and staff travel.
  • Manage processes for purchasing and facilities requisitions for the Colleges of Health Science department.
  • Assist in planning and implementing events related to recruitment, professional development, and community engagement.
  • Assist Program Directors in any events, projects, tasks, or duties deemed necessary.
  • Complete all assigned duties daily, and all others in a timely manner.
  • Adhere to Departmental dress codes. Department regulations for appearance and dress take precedence over campus-wide dress codes.
