About The Position

The Project Coordinator serves as the logistical engine of the Installation Division. This role is responsible for the complex scheduling, documentation, and high-volume communication required to move residential projects from pre-construction through warranty resolution. The ideal candidate is a tech-savvy, "calm-under-pressure" professional who thrives in a dynamic environment, managing the delicate balance of being firm yet friendly with customers while ensuring every crew is routed efficiently by dawn.

Requirements

  • Schedule: Standard hours are 6:00 AM – 3:00 PM (In-Office) with flexibility into the evening.
  • Experience: Minimum 2–3 years of project coordination or heavy scheduling experience, preferably in construction or landscaping.
  • Proficiency in Microsoft Office (especially Excel).
  • High school diploma required; Associate’s or Bachelor’s degree preferred.

Nice To Haves

  • Direct experience with Housing Builder Portals and/or ERPs (Aspire, Service Titan, etc.) is highly preferred.
  • Fluency in English and Spanish is a significant plus.

Responsibilities

  • Create and manage daily installation schedules and route assignments with high precision.
  • Pivot quickly to adjust schedules based on weather, site readiness, or changing client demands.
  • Monitor client "house status" through builder portals to ensure sites are ready for installation, preventing "dry runs."
  • Lead the sales-to-operations hand-off process, ensuring all checklists and scopes are accurate.
  • Act as the primary point of contact for customers; maintain a "firm but friendly" approach when navigating requests, timelines, and PO approvals.
  • Manage and update Housing Builder Portals and internal ERP systems (Aspire/Service Titan) daily.
  • Prepare Purchase Orders (EPOs) and send PO requests to clients on a weekly basis.
  • Monitor client house status to ensure readiness for scheduling and installation.
  • Collect permit information for irrigation projects and maintain organized permit folders.
  • Create daily installation schedules and route assignments.
  • Assemble housing packages including site plans, addresses, and designs.
  • Update housing tracker files based on quality control punch lists and project progress.
  • Process warranty and service requests within 30 days of project completion.
  • Research installation history to validate warranty claims and communicate findings to Project Managers.
  • Ensure no service work begins without a confirmed scope, pricing, and an approved PO.
