You will play an important part in ensuring project documentation, drawing sets, and submittals move through review cycles and reach suppliers and project teams. You'll collaborate with project managers, engineering leads, and construction teams across multiple regions, supporting critical project operations and helping promote the successful completion of high‑profile energy projects. You will offer a mix of desk-based coordination work and hands‑on document handling, contributing directly to the momentum and success of each project team.

Requirements

  • 2–4 years of experience in a professional or administrative role.
  • 1+ years experience with scanning, PDF handling, and physical/online document libraries.
  • Initiative-driven team player with a willingness to help wherever needed.
  • Proficiency in, Teams, OneNote, and SharePoint.

Nice To Haves

  • Experience with ProjectWise, Bluebeam, or Adobe Pro (PDF modification).
  • Previous administrative support experience within construction or engineering environments.
  • Experience with large construction or infrastructure companies.

Responsibilities

  • Manage a shared email inbox and coordinate high-volume correspondence.
  • Process drawings, RFI submittals, and all incoming/outgoing project documentation.
  • Track submittals in OneNote and ensuring review cycles align with required due dates.
  • Routing drawings to appropriate reviewers and following up to ensure approvals.
  • Monitor bottlenecks, delays, and overdue items.
  • Prepare 11x17 bound books and hard copy drawing sets for shipment to construction sites and other project partners.
  • Engage with project managers, engineering leads, and construction personnel (team sizes typically around 10).
  • Support multiple ongoing projects.
