We are seeking a highly motivated Project Management Administrative Assistant to support project managers and internal teams while also handling a variety of administrative tasks. This role is ideal for someone who is highly organized, detail-oriented, and eager to grow professionally while contributing to both project execution and day-to-day office operations.

Requirements

  • High school diploma or GED required; Associate’s Degree or higher preferred
  • 1–5 years of proven experience in an administrative support role
  • Proficiency in Microsoft Office, email, and calendar systems
  • Highly organized with strong attention to detail and problem-solving skills
  • Ability to manage priorities, deadlines, and deliverables in a fast-paced environment
  • Strong written and verbal communication skills
  • Highly responsive to emails, calls, and requests
  • Ability to work independently and collaboratively as part of a team
  • Willingness to learn, adapt to new processes, take feedback, and ask thoughtful questions
  • Ability to work efficiently under pressure and during peak deadline periods, including occasional weekends

Nice To Haves

  • Previous experience in a project management, accounting, or professional services environment preferred
  • Intermediate-level Excel skills preferred (e.g., formulas, pivot tables, basic data analysis)
  • Familiarity with project management software and web-based tools preferred

Responsibilities

  • Communicate regularly with Project Managers and internal teams regarding project needs, timelines, and priorities
  • Assist with planning, coordination, and tracking of multiple projects
  • Maintain and organize project documentation, reports, and assignments within project management software and web-based tools
  • Monitor, update, and report on project progress
  • Perform administrative tasks including data entry, report preparation, scheduling meetings, scanning, copying, printing, and filing
  • Assist with assembling, filing, and organizing tax returns and client documentation
  • Convert documents into both paper and digital files, ensuring accurate labeling and organization
  • Communicate with clients via email and telephone to request or clarify information
  • Conduct research and gather information as needed to support projects
  • Support general office operations, errands, and miscellaneous administrative duties
  • Complete tasks assigned by Project Managers and leadership in an efficient and timely manner
