About The Position

This role provides essential administrative and operational support to the Operations Team, including the VP of Operations, managers, and task leads. The Project Management Support Specialist is responsible for coordinating day-to-day operational activities, preparing and formatting project deliverables, assisting with personnel and staffing actions, and ensuring the timely submission of requisitions through iSolved. This position also supports travel coordination, document organization, and cross-team communication to ensure smooth execution of ongoing projects and operational requirements. The ideal candidate is proactive, highly organized, and able to work collaboratively in a fast-paced, multi-task environment.

Requirements

  • Bachelor's degree in business, project management, communications, or a related field.
  • Minimum five (5) years of experience in a relevant position, ideally involving project coordination or administrative support.
  • Experience working with or supporting government contracts, including familiarity with federal requirements, compliance, and documentation processes.
  • Strong communication skills, including the ability to email professionally, participate in meetings, and coordinate effectively with task leads.
  • Ability to manage multiple tasks, track deliverables, and maintain organized records in a fast‑paced environment.
  • Knowledge of project management practices and tools used to support complex studies or multi‑task environments.
  • Ability to work independently and proactively engage with team members to gather updates, clarify requirements, and ensure alignment.

Responsibilities

  • Open and manage requisitions in iSolved, ensuring accuracy and timely processing.
  • Prepare and process personnel action forms and maintain supporting documentation.
  • Format, proof, and finalize project deliverables to meet internal and client-facing standards.
  • Provide administrative support to the VP of Operations, managers, and task leads, including scheduling, document preparation, and coordination needs.
  • Assist with booking travel, managing itineraries, and ensuring compliance with company travel requirements.
  • Organize, track, and maintain project deliverables to ensure deadlines are met.
  • Coordinate tasks, updates, and communication across operations team members to support workflow continuity.
  • Maintain organized documentation, records, and status reports for project and operational activities.
  • Participate in meetings to capture updates, track action items, and support follow-through.
  • Communicate regularly with task leads and team members via calls, emails, and Teams to gather updates and ensure alignment.
  • Provide timely updates to leadership regarding status changes, risks, or required resources.
  • Assist in preparing meeting materials, coordinating schedules, and ensuring follow-up actions are completed.
  • Maintain strong professional communication and organizational practices to support effective coordination across personnel and tasks
