The Proposal Coordinator supports the preparation, development, and submission of competitive bids and proposals for major infrastructure and construction projects. This role plays a critical part in managing proposal schedules, coordinating cross-functional inputs, and actively assisting in proposal writing to ensure high-quality, compliant, and compelling submissions. The ideal candidate is highly organized, detail-oriented, and possesses strong writing and editing skills with the ability to work in a fast-paced bid environment.

Requirements

  • Bachelor’s degree in Communications, Marketing, English, Business, Construction Management, or related field preferred.
  • 2–5 years of experience supporting proposal development in construction, engineering, infrastructure, or professional services.

Nice To Haves

  • Experience working on design-build or P3 proposals preferred.

Responsibilities

  • Assist in drafting, editing, and formatting technical and non-technical proposal content.
  • Collaborate with technical, operations, estimating, and executive teams to develop clear, persuasive narratives.
  • Support development of executive summaries, project descriptions, management plans, and personnel qualifications.
  • Ensure consistency in messaging, tone, and branding throughout the proposal.
  • Edit and proofread documents for clarity, grammar, compliance, and accuracy.
  • Develop and maintain proposal schedules and compliance matrices.
  • Coordinate internal contributors to ensure timely submission of required materials.
  • Organize and manage proposal content libraries and templates.
  • Compile and format final proposal documents in accordance with RFP requirements.
  • Support graphics coordination (org charts, schedules, project maps, infographics).
  • Review RFPs/RFQs and summarize key requirements.
  • Ensure submissions meet all client requirements and formatting guidelines.
  • Track deliverables, certifications, and required forms.
  • Support internal reviews and incorporate red-team/management feedback.
  • Maintain proposal tracking logs and pipeline reports.
  • Assist with maintaining resumes, project profiles, and corporate experience materials.
  • Support continuous improvement of proposal processes and best practices.
