Time Type: Full time Department: Medical Staff Office All Locations: 300 Ocean Avenue – Revere Position Summary: Under the supervision of the Director of the Medical Staff Office, this role leads full-cycle recruitment for physicians, advanced practice clinicians, behavioral health clinicians, other independently licensed providers, and potentially senior level vacancies. The recruiter partners with clinical, administrative, and executive leadership, as well as Credentialing and Human Resources teams, to develop and execute recruitment strategies aligned with NeighborHealth’s immediate and long-term workforce needs. Responsibilities include managing the recruitment process from position initiation through onboarding and readiness for clinical practice, while ensuring a positive candidate experience and effective coordination across departments. Occasional travel may be required.

Requirements

  • Associates, bachelor’s degree, or equivalent experience in health care preferred.
  • One to three years’ experience in provider or health care recruiting.
  • Demonstrated computer skills, human relations, effective communication, and report preparation skills.
  • Good interpersonal and excellent organizational skills.
  • Ability to work with detailed confidential material, experience in Workday is desired.
  • The ability to work in a fast-paced environment
  • Good verbal, documentation, communication, and technical skills, and the ability to set priorities and organize own workload.
  • Regularly reports to work on time and follows attendance and call-in procedures.
  • Displays outstanding customer service skills when interacting with all NeighborHealth customers.
  • Filing, scanning, creates files as needed to support the functioning of the department.
  • Self-directed analytical abilities and research oriented.

Responsibilities

  • Under the direction of the Director, manage all aspects of provider recruitment, including the implementation of standardized recruitment protocols and procedures.
  • Works closely with the Director and CMO to develop compensation packages for candidates.
  • Establish schedules of recruitment activities, follow up on contacts made by clinical staff; establish, update and maintain recruitment database information; develop and implement a system for timely communications.
  • Collaborate with clinical and administrative leaders to review and maintain accurate job descriptions and recruitment materials, ensuring alignment with clinical scope, organizational needs, and current market expectations.
  • Complete marketplace surveys as needed and maintain understanding of NeighborHealth’s complex provider compensation programs.
  • Establish and build trust and rapport with medical staff by conducting the recruitment process with quality, consistency, and in a consultative manner.
  • Follow up with new provider upon 3- and 6-month anniversaries and thereafter at least annually.
  • Identify, qualify, and screen provider candidates virtually and/or in-person.
  • Source qualified candidates using a variety of resources, including but not limited to the internet databases, job boards, referrals, training programs, national academy meetings, external search firms, etc.
  • Determine the marketing/recruiting approach through recruitment planning for each position, while maintaining a consistent candidate pipeline.
  • Coordinate and conduct visits to schools, training programs, career fairs, conferences, and other recruitment events. Occasional travel may be required.
  • Establish and maintain appropriate relationships with external sourcing agencies when necessary.
  • Conduct telephone/Zoom screening interviews and personal/professional reference checks. on candidates.
  • Maintain accurate databases of candidate information, including CVs, contact information, referrals, and follow-up documentation.
  • Track recruitment activity and credentialing/onboarding progress using Workday and supplemental tools.
  • Measure, analyze, and report recruitment activities to leadership on a regular cadence.
  • Coordinate provider on-site facility visits, including meetings with leadership, tours of clinical sites, and information on community and housing options.
  • Organize and manage all aspects of candidate travel and interview itineraries, including any reimbursement.
  • Serve as liaison with candidate, clinical leadership, and MSO regarding recruitment progress, contractual questions, next steps, and other issues.
  • Work closely with the Credentialing Manager and Provider Enrollment Specialist to fully understand NeighborHealth’s privileging and credentialing process.
  • Coordinate providers’ on-site Employee Health & Credentialing visit to complete credentialing application with NeighborHealth’s Credentialing staff.
  • Pre-hire new providers in Workday.
  • Enroll new providers in orientation.
  • Work with MSO, clinical leadership, ETI, and IT to ensure a smooth onboarding process and access to systems and required training.
  • Manage Resident and Fellow credentials and files in Workday as well as online folders.
  • Responsible for the Onboarding and Off boarding of the Residents, coordinates with NeighborHealth medical supervisors as well as with BU Department affiliates to ensure that all Residents and Fellows are fully credentialed before they come on staff and while on staff.
  • Follows the same process in Workday to create positions, hire, update, and terminate when they leave.
  • Demonstrate proficiency in various information systems and software applications, including but not limited to Workday, Microsoft 365 (Word, Excel, CoPilot OneDrive), Zoom, LinkedIn Recruiter, and MSOW (BMC’s credentialing database).
  • Perform periodic audits in accordance with established protocols.
  • Run reports to support the organization as needed.
  • Notify Marketing of credentialed provider additions, departures, or role changes to ensure accurate status and information on the NeighborHealth website and related materials.
  • Conduct QI Projects for internal and external purposes.
  • Back-up scribe for Medical Standards Meeting.
  • File, scan, and create files as needed to support the functioning of the department.
  • Support providers on an as-needed basis to update CVs and Resumes.
  • Possess good verbal, documentation, communication, and technical skills and the ability to set priorities and organize own workload.
  • Report to work on time and follow attendance and call-in procedures.
  • Display outstanding customer service skills when interacting with all NeighborHealth customers according to the ACE model.
  • Read, understands, and complies with all Standards of Conduct, JCAHO policies, and all laws related to position responsibilities and employment at NeighborHealth; Uphold procedures and systems to safeguard the confidentiality of all patient and employee information.
  • Also, responsible for notifying Marketing as providers leave or role changes, which may impact the provider's status on the website.
