Summary/Purpose: The Purchasing Agent is responsible for sourcing and procuring quality goods and services while maintaining strong relationships with suppliers and ensuring cost-effective purchasing processes. Manage vendor relationships, process purchase orders, and monitor inventory levels, requiring sharp attention to detail and communication skills to ensure production schedules are met. Essential Job Duties: Assist Plant Manager with reconciling month end procurement card statements providing necessary receipts, submitted on time and complete. Obtain proper purchase approval through Purchase Requisitions and create the applicable Purchase Orders. Follow-up to receive packing lists for purchases and ensure the receipt is entered into LN so the invoices are paid on a timely basis. Review PO status to determine when goods will be received and/or payment status (e.g., ensure invoices have been received for payment). Assist Plant Controller in the monthly closing process as it relates to inventory purchases and monthly overhead expenses (e.g., journal entries for intransit inventory, PPV reporting, etc.). Accumulate and analyze information for operations reporting (Material usage variance, Production activity, Dept expense analysis). Assist with compiling and analyzing plant performance trends (e.g., purchase price variance analysis) as compared to budget, forecast and prior year. To train as backup on maintaining Bill of Materials, creation of parts, etc. Assist Plant Controller in plant budget preparation based on input provided by other department staff. Includes projections for the upcoming year’s overhead expenses. Backup in preparation of cost quotes for new products and update standards in LN accordingly. Non-Essential Job Duties : Perform other duties that may be assigned including office administrative tasks such as welcoming plant visitors, ordering supply and food, and assisting in safety and plant activities among others. Qualifications, Education and/or Experience: Possesses strong math aptitude, work accurately with numbers, intermediate Excel aptitude, Experience with ERP Systems, Microsoft Office, good organization skills and ability to efficiently operate standard office equipment. Strict attention to detail is required. Strong analytical ability and thorough understanding of computer systems and accounting principles. Associate degree in business, supply chain management or a related field; or equivalent combination of education and experience, or, 3 – 5 years related experience and/or training. Industry experience 3-5 years in purchasing, supply chain, or inventory control. Language Skills: Good English communication skills, both verbal and written Ability to read and write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization. Bilingual Spanish, a plus. Not required. Mathematical Skills: Strong ability to interpret financial data. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to interpret bar graphs. Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Analytical thinking: Reviewing inventory, calculating costs, and managing budgets. Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Physical Demands: While performing the duties of this job, the employee is regularly required to sit; use hands to finger and handle, talk and hear. The employee is occasionally required to stand, walk, and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.
