About The Position

We are seeking a highly organized and detail-oriented Purchasing Assistant to join our team at Top Guy International LLC. The successful candidate will play a critical support role in the procurement process, ensuring timely and accurate ordering of materials and finished goods, primarily from our Mandarin-speaking suppliers overseas. This role requires fluency in both English and Mandarin to facilitate seamless communication and negotiation.

Requirements

  • Complete fluency (written and spoken) in both English and Mandarin is required.
  • 1 years of experience in an administrative, clerical, or purchasing support role, preferably within the wholesale, retail, or manufacturing sector.
  • Strong organizational skills, attention to detail, and the ability to manage multiple tasks concurrently.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).

Responsibilities

  • Serve as the primary contact for Mandarin-speaking suppliers, handling daily communication regarding orders, production timelines, quality control, and shipping logistics.
  • Prepare, process, and track purchase orders (POs) for raw materials, components, and finished shoe inventory.
  • Assist in monitoring inventory levels and identifying purchasing needs to prevent stockouts or overstock situations.
  • Maintain accurate and up-to-date purchasing records, including supplier contacts, price lists, order confirmations, and shipping documents. Organize and file all relevant documentation.
  • Monitor the status of pending orders and coordinate with logistics providers to ensure timely delivery.
  • Resolve any shipping discrepancies or delays in a timely manner.
  • Input purchasing data into the company's OMS system software.
  • Generate reports to track purchasing metrics and supplier performance.
