The Purchasing Coordinator supports all purchasing activities across Construction, Prefabrication, and Service operations. This position is responsible for purchase order entry, vendor communication, cost code accuracy, documentation control, and assisting in material logistics and job cost tracking. This role is essential in maintaining clean purchasing data, ensuring materials are ordered and delivered on time, and protecting job cost integrity. The ideal candidate is highly organized, systems-driven, and comfortable working in a fast-paced construction environment.

Requirements

  • 2+ years in purchasing, construction administration, or procurement support
  • Experience in a construction environment preferred
  • Familiarity with Sage, Procore, Kojo, or similar systems preferred
  • Strong Excel skills
  • Highly detail-oriented and organized
  • Strong written and verbal communication skills
  • Process-driven mindset with strong follow-through

Nice To Haves

  • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Sage, Procore, Kojo or similar purchasing and construction management systems
  • Basic construction documentation and cost code structure

Responsibilities

  • Create and enter purchase orders in Sage/Kojo
  • Assist with proper PO coding to cost codes and job phases
  • Ensure accurate job and dimension allocation
  • Maintain organized digital documentation in Procore
  • Track and reconcile PO acknowledgments and vendor confirmations
  • Support monthly job cost review by ensuring accurate PO data
  • Communicate with vendors for pricing confirmations and availability
  • Track material delivery timelines and long-lead items
  • Assist in resolving backorders or material discrepancies
  • Maintain updated vendor contact lists
  • Support competitive quote collection when requested
  • Assist Project Managers with material tracking
  • Support prefabrication material procurement coordination
  • Assist with change order material pricing documentation
  • Support Service Department parts procurement and recurring maintenance pricing
  • Assist in inventory coordination and standardized parts list development
  • Maintain accurate purchasing logs and reporting
  • Support committed cost tracking and vendor performance reporting
  • Assist with documentation compliance and lien waivers if required
  • Perform other duties as assigned to support overall project and company success
