About The Position

McElroy Manufacturing is seeking a detail-oriented Purchasing Coordinator to support the Planning and Purchasing team in executing daily procurement activities. This position plays a key role in ensuring accurate purchase order processing, supplier communication, cost maintenance, and cross-functional coordination to support customer service, inventory objectives, cost control, and quality standards. The Purchasing Coordinator partners closely with Buyers, suppliers, and internal departments to maintain uninterrupted material flow to manufacturing operations.

Requirements

  • Detail-Oriented and Organized Minimum of one (1) year of experience in purchasing or a related field preferred.
  • High School Diploma or GED required; college degree preferred.
  • Ability to manage multiple time-sensitive tasks with strong organizational skills.
  • Strong time management and follow-through capabilities.
  • Self-motivated with the ability to work independently within defined objectives.
  • Systems & Technical Skills Proficiency in Microsoft Excel and Outlook required.
  • Experience with ERP systems such as Infor XA or AS400 preferred.
  • Working knowledge of purchasing and manufacturing terminology and processes.
  • Ability to read and interpret blueprints, diagrams, and drawings preferred.
  • Strong mathematical aptitude related to business applications.
  • Collaborative & Communicative Strong interpersonal skills with the ability to work cross-functionally.
  • Effective verbal and written communication skills.
  • Ability to work with all levels of the organization.

  • Manufacturing Focused Understanding of supply chain flow within a manufacturing environment preferred.

  • Physical & Work Environment Requirements Ability to work seated at a workstation approximately 60% of the workday, with remaining time spent walking through office and manufacturing areas.
  • Occasional travel between facilities or off-site locations may be required.

Responsibilities

  • Support Daily Purchasing Operations Process and maintain purchase orders for production materials, special projects, prototype projects, tooling, and shop supplies.
  • Monitor open purchase orders to ensure on-time delivery and follow up on past-due or partially received orders.
  • Research and resolve cost discrepancies, delivery issues, and supplier invoicing concerns.
  • Maintain accurate purchased costs in the ERP system (AS400/Infor XA).
  • Expedite material shortages and communicate status updates to Planning and Scheduling teams.
  • Return rejected or discrepant materials to suppliers in a timely manner.
  • Coordinate Across Departments Work closely with Manufacturing, Planning, Accounting, Receiving, Engineering, Sales, and other internal teams to support operational needs.
  • Communicate supplier changes in cost or lead time that may impact operations.
  • Support Accounts Payable and Receiving in resolving invoice and receipt discrepancies.
  • Prepare and distribute purchasing reports and vendor schedules.
  • Drive Continuous Improvement Research vendor price increases and support competitive bidding and resourcing initiatives when necessary.
  • Assist Buyers in understanding and improving purchasing processes and procedures.
  • Support development and maintenance of “how-to” documentation and standard operating procedures.
  • Maintain strong working relationships with suppliers to ensure consistent price, quality, and service performance.
  • Promote Safety and Compliance Practice and promote safe work habits in compliance with company policies and OSHA standards.
  • Maintain knowledge of safety procedures applicable to the position.
  • Support company environmental and housekeeping initiatives.
