Receptionist/Office Assistant Position Summary The Receptionist/Office Assistant is responsible for creating a professional and welcoming first impression for visitors, clients, and employees. This role provides front desk coverage and general administrative support while assisting the Human Resources, Accounting, and Marketing departments with clerical and coordination tasks. The ideal candidate is organized, detail-oriented, customer-focused, and able to manage multiple priorities in a fast-paced environment.

Requirements

  • Strong customer service and interpersonal communication skills.
  • Excellent organizational skills with strong attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks and manage multiple assignments simultaneously.
  • Proficiency in Microsoft Office programs including Word and Excel.
  • Ability to maintain confidentiality of sensitive information.
  • Ability to work in a fast-paced environment and meet deadlines.
  • Ability to professionally handle conflicts or difficult situations.
  • High School Diploma or GED required.

Nice To Haves

  • Previous receptionist, administrative, or office support experience preferred.
  • Previous accounting or HR department support experience preferred.
  • Experience using office software and general business systems is preferred.

Responsibilities

  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Greet visitors and notify appropriate personnel of arrivals.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Maintain reception area and main entry office spaces in a clean and organized manner.
  • Order and maintain office supplies.
  • Schedule conference rooms and assist with meeting setup as needed.
  • Provide general clerical support including filing, scanning, copying, and data entry.
  • Assist with new hire onboarding and new hire orientation materials.
  • Assist with benefit enrollment paperwork and tracking.
  • Support training coordination and internal communications.
  • Assist with company event and meeting logistics.
  • Assist with Accounts Payable and Accounts Receivable administrative tasks.
  • Assist with emailing Accounts Receivable invoices
  • Assist with preparing and mailing AP checks.
  • Support document organization for audits and month-end processes.
  • Help file vendor and customer records and chassis paperwork.
  • Perform data entry of daily timecards into company MRP system.
  • Assist with preparation and distribution of marketing materials.
  • Update contact lists and databases.
  • Coordinate mailings and promotional shipments.
  • Assist with company trade show logistics.
