About The Position

Provides direct support to the public, commercial real estate organizations, development and construction entities, government agencies, and law offices by accepting legal instruments for recordation and verifying document compliance with Arizona Revised Statutes and regulations. It is differentiated from other clerical and administrative support classifications by the technical and legal knowledge required related to the application of relevant statutory obligations and Arizona State requirements regarding the handling of sensitive and/or confidential information.

Requirements

  • Two years of progressively responsible clerical, administrative, technical, or paraprofessional support experience INCLUDING one year providing department, program, or small business coordination OR one year of specialized experience processing subdivision plats, development plans, rezoning applications, real estate or planning documents, or serving in a public-sector permitting, addressing, or code enforcement support role.
  • Relevant experience and/or education from an accredited college or university may be substituted.
  • OR: One year of experience with Pima County in an Administrative Assistant II or closely related position as determined by the department head at the time of recruitment.
  • Qualifying education and experience must be clearly documented in the "Education" and "Work Experience" sections of the application.
  • Valid driver license is required at time of application.
  • Valid AZ driver license is required at time of appointment.
  • The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine applicant’s suitability to operate county vehicles in accordance with Pima County administrative procedures.
  • Failure to obtain and maintain the required licenses and certifications shall be grounds for termination.
  • Any offer of employment resulting from this recruitment is contingent upon Fleet Services’ review and approval of the candidate’s driving record.
  • The County requires pre-employment background checks.
  • Successful candidates will receive a post-offer, pre-employment background screening to include verification of work history, education, and criminal conviction history.

Nice To Haves

  • Minimum six (6) months experience in real estate sales, title insurance, mortgage processing, or other related property development activity.
  • Minimum three (3) years experience in clerical or administrative tasks.
  • Minimum two (2) years experience in customer service.
  • Experience with/knowledge of public records and legal documents research.
  • Bilingual (English/Spanish).

Responsibilities

  • Interprets and analyzes submitted documents to determine their legal function for real property, legislative actions, and other official recordation purposes
  • Performs quality control through secondary review of recorded documents to ensure accuracy, completeness, and correct indexing in the specialized recording database
  • Processes e-recorded and paper documents for compliance with Arizona Revised Statute, verifying completeness and resolving informational errors
  • Identifies and distinguishes among multiple legal document types and associated legal descriptors to ensure proper classification and recordation
  • Performs accurate primary data entry into the specialized recording database
  • Maintains security and confidentiality of records, including statutory redaction of personal identifying information and secure handling of sensitive documents
  • Handles financial transactions, including point-of-sale payments, account reconciliation, balanced cash drawer management, and daily funds reporting
  • Communicates with the public, title companies, legal offices, and government agencies regarding recordation issues, rejections, and account matters, and provides front counter and phone customer service support
  • Researches complex inquiries using specialized search techniques, maintains tracking logs for recordation metrics and revenue, and manages incoming and outgoing recordation mail
  • Provides operational support including troubleshooting workflow or equipment issues, operating microfilm and microfiche systems for research, and cross-training in voter registration and election-related activities as needed.
