About The Position

The Regional Events Manager drives excellence in event strategy, execution, and experience to strengthen IDEA’s brand and advance organizational priorities across regions. This role leads the planning and delivery of high-impact regional events & trainings—ranging from large-scale events, (up to 10,000 attendees) such as regional Graduation Ceremonies, Teacher Collaboration and Back to School Bash, to partnering on all Teacher and Leader trainings in-region (up to 1,500 attendees) and the reservation coordination of the assigned Regional Office —ensuring each touchpoint and impact reflects IDEA’s mission, culture, and values. Reporting to the Sr. Regional Project Manager, the Regional Events Manager serves as a cross-functional partner to teams across the region, providing project management expertise, operational support, and strategic coordination. They oversee budgets, vendors, and coordination to deliver seamless, mission-aligned events and training that engage stakeholders and elevate IDEA’s visibility and impact in the assigned region.

Requirements

Responsibilities

  • Owns and leads the full life-cycle coordination for all regional events and training, serving as the single point of accountability from initial planning through execution and post-event closeout.
  • Manages large-scale, high-visibility events including year-long, multi-site Teacher Collaboration sessions, all-day regional convenings (e.g., Back to School Bash), and large community-facing events such as regional 5K events. Ensures consistent, high-quality execution across all leader-, teacher-, and whole-region–facing experiences.
  • Develops, manages, and reconciles comprehensive event budgets for all regional events and trainings. Owns requisitions, purchase orders, and contract submissions; monitors expenditures against approved budgets; identifies cost efficiencies; and ensures timely reconciliation of invoices in alignment with organizational financial and procurement requirements.
  • Leads end-of-the-end event planning and execution using project management best practices, tools, and timelines. Oversees milestone development, task delegation, risk identification, and execution readiness to ensure events are delivered on time, within scope, and at scale. Establishes standardized processes and playbooks to support consistency and scalability across the region’s year-long event portfolio.
  • Serves as the central coordination hub across internal teams—including Teaching & Learning, School Teams, Communications and Creative Services, Marketing, Operations, and Philanthropy—to ensure alignment on objectives, messaging, branding, and execution. Manages complex, multi-site coordination and sequencing to support simultaneous or recurring regional events throughout the year.
  • Acts as the primary point of contact for internal and external stakeholders, providing clear, initiative-taking, and professional communication throughout the event lifecycle. Sets expectations, manages timelines, and ensures leaders, facilitators, vendors, and partners are aligned to deliver seamless regional experiences.
  • Sources, evaluates, contracts, and manages vendors and service providers in accordance with organizational procurement policies. Oversee vendor performance, contractual compliance, timelines, and deliverables to ensure high-quality execution of all coordination components across regional events.
  • In partnership with regional and instructional leaders, support selects programmatic elements of events, including run-of-show development, session sequencing, facilitation coordination, and participant experience flow. Ensures logistical decisions reinforce learning goals and regional priorities.
  • Tracks and analyzes key event metrics such as attendance, engagement, cost efficiency, and operational effectiveness. Uses data and post-event insights to identify trends, improve processes, inform forecasting, and enhance the overall quality and impact of future regional events.
  • Ensures all regional events adhere to organizational policies, legal requirements, procurement standards, and safety protocols. Anticipates, assesses, and mitigates operational and logistical risks through initiative-taking planning and contingency development.
  • Provides project management guidance and coaching to teams across the region to strengthen planning, execution, and accountability practices.
  • Supports Regional events beyond special projects, including summits, conferences, and recruitment initiatives.
  • Partners with cross-functional leaders to develop efficient event/training planning processes and resources that build team capacity and consistency.
  • Contributes to the continuous improvement of regional systems and workflows related to events and project management.
  • Provides direct support for high-priority or complex events as needed, ensuring excellence in execution and stakeholder experience.
