About The Position

The Administrative Assistant plays an essential role in the daily operations of the Upper Elementary Division, providing comprehensive administrative and operational support to the Division Head, faculty, staff, and families. Serving as the division's primary point of contact, the assistant helps cultivate a welcoming, responsive, and professional environment. This position also includes key registrar responsibilities, including maintaining academic and student records, supporting enrollment transitions, coordinating standardized testing, and assisting with student scheduling. The ideal candidate is highly organized, detail-oriented, technically proficient, demonstrates strong interpersonal and problem-solving skills, and is experienced with Blackbaud or similar student information systems. This is a salaried, non-exempt position and is eligible for overtime under the Fair Labor Standards Act.

Requirements

  • Associates' or Bachelor’s degree preferred; relevant administrative experience may substitute for degree
  • Minimum of 2 years of experience in administrative or registrar roles, preferably in an educational setting
  • Excellent verbal and written communication skills
  • Ability to effectively present information and respond to questions from groups of managers, parents, faculty/staff, and the general public
  • Demonstrated organizational skills, attention to detail, and ability to manage multiple priorities
  • Knowledge of Blackbaud and student information systems, MS Office (Word, Excel, Outlook)
  • Ability to maintain confidentiality and exercise sound judgment in sensitive situations.

Responsibilities

  • Serve as the front-line contact for the Upper Elementary Division, supporting faculty, families, and visitors with professionalism and warmth.
  • Manage the Division Head’s calendar, schedule appointments and track internal deadlines.
  • Coordinate with the buildings and grounds team for daily and emergency requests.
  • Provide logistical support for events and activities.
  • Prepares mailings for the Upper Elementary Division.
  • Coordinates interviews, tours, and travel arrangements for UED faculty applicants
  • Organize and schedule transition meetings with parents, teachers, and administrators
  • Maintains records for all UED students.
  • Organize and distribute testing booklets and answer sheets to teachers for ERB testing
  • Oversee grade-reporting workflows in Blackbaud, including grade entry, verification, report card and transcript generation, and publishing to families.
  • Process and distribute grade reports and manage report-card logistics.
  • Generate and distribute enrollment, attendance, grade, and demographic reports from Blackbaud for school leadership, accreditation, and board reporting
  • Maintain documentation of registrar procedures and Blackbaud data standards to support audits, continuity, and faculty/staff training
  • Assist in the creation of student schedules and support teachers with class lists and rosters.
  • Oversee enrollment transitions in coordination with the Division Head, Director of Admissions, and Director of Outplacement, including the transfer and archiving of student records and the preparation of outplacement reports.
  • Building trusting relationships with students, faculty, and families to support our culture of community and belonging.
  • Assists with support duties for the school, including helping to cover front desk duty
  • Support school-wide and divisional events, including assemblies, ceremonies, and parent engagement activities.
  • Retrieves and escorts students to/from the classroom/Front Desk when requested by the Front Desk.
  • Maintain confidentiality.
