Position Description: On-site Resident Service Associate, Arundel HOA The On-site Resident Services Associate will work at the reception of a luxury mid-size San Francisco residential community by delivering exceptional customer service and administrative support. This role works closely with the Board of Directors and management team to ensure smooth building operations. with administrative responsibilities.

Requirements

  • 4 Year College Degree preferred but not required
  • 3-4 Years of experience in an administrative role
  • 1-2 Years of experience in HOA or property management
  • Extraordinary customer service skills
  • Exceptional writing and communication skills
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Proficient in reviewing and understanding budgets and financial statements
  • Strong organizational skills
  • An honest, responsible, optimistic, and enjoyable demeanor

Responsibilities

  • Provide extraordinary service to all residents, ensuring PMP’s unique brand of white glove service.
  • Interface with all residents and guests to ensure questions and requests are addressed in a timely fashion.
  • Provide a second layer of access control beyond the electronic access systems and handle on-site key/fob management.
  • Ensure the lobby and common areas are kept in a clean and presentable fashion at all times.
  • Oversee resident package management.
  • Assist Portfolio Manager to coordinate and oversee resident move ins/outs.
  • Address walk-up resident service requests.
  • Manage and maintain on-site records and files, inclusive of digital files.
  • Assist with vendor Management, including property access coordination and inspecting completed work.
  • Assist with communications to residents, including sending email blasts and posting hard copy notices.
  • Assist with resident or on-site property matters as needed.
  • Assist in opening service work orders and providing on-site assistance as necessary.
  • Answer all front-desk calls and address call-in resident service requests.
  • Assist with updating association website and portal, including both document folders and the community calendar, ensuring all information is up to date.
  • Perform routine property inspections to assist the Community Manager with compliance with the associations governing documents and with California Civil Code compliance.
  • Work directly with on-site staff, vendors, and the Association Board of Directors to provide the support as necessary to ensure they’re able to meet their operational duties and obligations.
  • Assist with all Board Member and resident communications, posting notices as necessary to meet civil code deadlines.
  • Participate in on-going training and professional development.
  • Additional duties that may come up as needed.
