The Resource Coordinator is responsible for coordinating the effective deployment of talent across projects, ensuring optimal resource utilization, and supporting project timelines and budgets. This role requires strategic planning, excellent organizational skills, and a proactive approach to workforce management. The Resource Coordinator collaborates closely with Producers, Department Heads, and Operations to align on staffing needs and anticipate future demands to maintain a well-balanced workload across teams. Requirements

  • 1-2 years of related resource allocation or administration experience required.
  • Ability to work onsite at our Hollywood office (M-F).
  • Strong computer skills and understanding of latest OSX operating systems, including Microsoft proficiencies in Excel, Outlook and Teams.
  • Capacity to handle a wide variety of tasks and assignments in a dynamic, fast-paced environment.
  • Excellent communication skills, both orally and in written form.
  • Effectively presents information in both one-on-one and group situations.
  • Flexible, responsive and capable to think on their feet.
  • Proactive approach to problem-solving with strong decision-making skills.

  • Airtable experience a plus.

Responsibilities

  • Coordinate Editor schedules and staffing needs for specific projects with AV elements.
  • Partner with Resourcing teams to support cross-functional collaboration and facilitate shared resourcing solutions across groups.
  • Align resource costs to project budgets and deliverables.
  • Track team utilization and workload to identify and resolve resource bottlenecks or imbalances.
  • Conduct regular capacity reviews and forecasts to proactively identify resource shortages or surpluses.
  • Coordinate the Feature Release Schedule against current projects and freelance / team availability.
  • Understand strengths and weaknesses of different Editors, assign appropriately based on working knowledge.
  • Identify and negotiate Editor schedule conflicts, resolve between Producers.
  • Actively research and recommend freelance talent for future use.
  • Recommend solutions to optimize team capacity, such as adjusting workloads, hiring freelance talent, or collaborating with recruitment teams for new hires.
  • Partner with project Producers to ensure team schedules are reflected accurately in project management systems.
  • Partner with Operations to maintain freelance database with up-to-date contact info, rates, availability, and creative feedback notes.
  • Partner with HR to source available freelancers, process freelance hire requests, and coordinate new freelancer setup.
  • Help police proper timesheet compliance.
  • Track and maintain employee time-off calendar.
  • Additional staffing & scheduling duties as assigned by the Vice President of Studio Operations.
