About The Position

The Retail Rescue Onboarding Coordinator is responsible for leading the onboarding and expansion of new retail store partners into the Retail Rescue Program across the Regional Food Bank's 23-county service area. This role serves as the primary relationship manager for new stores and partner agencies, ensuring a seamless onboarding experience and providing ongoing engagement and customer service. The coordinator will utilize program expansion to increase participation in rural, suburban, and urban communities, strengthening partnerships and supporting the efficient donation, pickup, and distribution of nutritious food to neighbors in need. This position works collaboratively with the Food Bank's Data Analytics team to optimize store-to-agency matching, monitor donation performance, and identify opportunities for growth.

Requirements

  • An associate degree and/or two years of related work experience is required.
  • The ideal candidate will demonstrate strong interpersonal, relationship-building, and customer service skills, along with effective public speaking and written communication abilities.
  • Strong organizational skills are essential, including the ability to manage and prioritize multiple projects while maintaining a high level of attention to detail and consistent follow-through.
  • Proficiency in Microsoft Office Suite is required, as well as the ability to analyze and interpret data in collaboration with analytics teams.
  • The position requires a willingness to travel regionally throughout the 23-county service area, with occasional evening or weekend work as needed.
  • A valid New York State driver's license is required.
  • This position requires frequent regional travel throughout the Food Bank's 23-county service area and regular time spent in retail store and warehouse environments.
  • The Retail Rescue Onboarding Coordinator will routinely enter and exit retail locations, storage areas, and loading docks.
  • The role requires extended periods of driving, walking, standing, and navigating store backrooms and warehouse spaces.
  • Duties may include bending, reaching, climbing short ladders or step stools, and occasional lifting of boxes or food products not to exceed 40 pounds.
  • The position may involve exposure to varying temperatures, including refrigerated and freezer environments, as well as outdoor weather conditions while traveling between locations.
  • The employee must be able to safely operate a motor vehicle, load and unload materials as needed, and maintain visual and auditory awareness in active retail and warehouse settings.

Responsibilities

  • Lead the onboarding process for new retail store partners, ensuring clear communication of program guidelines, expectations, and benefits.
  • Initiate and manage relationships with retail stores and partner agencies throughout the Food Bank's 23-county service area.
  • Serve as the primary customer service contact for newly onboarded stores and agencies via in-person visits, phone calls, and email communication.
  • Conduct outreach to retail locations in rural, suburban, and urban communities to expand program participation.
  • Clearly explain the benefits of participating in the Retail Rescue Program, address concerns, and remove barriers to participation.
  • Collaborate with the Data Analytics team to: Map store and agency locations Match stores with appropriate partner agencies Monitor performance and identify over- or under-performing product categories Monitor donation activity and generate reports to evaluate program growth and effectiveness.
  • Ensure accurate partner information and maintain up-to-date records in food donor and inventory management software.
  • Track and reconcile donation poundage reporting to ensure timely and accurate documentation.
  • Identify and communicate food quality, service, or operational issues to the Manager with recommended solutions.
  • Support partner recognition efforts, including certificates of appreciation, thank-you letters, and other communications.
  • Assist with drafting and coordinating partner communications, newsletters, and outreach materials.
  • Participate in trainings, meetings, presentations, conferences, and relevant webinars.
  • Maintain a clean, organized, and safe workspace while following all safety standards and procedures.
  • Work independently and collaboratively across departments in support of the Food Bank's mission.
