About The Position

The Sales Administration Assistant provides essential administrative, logistical, and communication support to the Sales Administration team, primarily assisting the Sales Administration Sr. Coordinator. This role is crucial for ensuring the smooth operation of administrative processes that support the Sales, Marketing, Sales Planning, Product Planning, and Channel Strategy departments by executing tasks related to internal communications, event coordination, data management, and team support.

Requirements

  • High School Diploma or GED required; some college coursework preferred.
  • Minimum of 3+ years of administrative and sales support experience.
  • Intermediate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Demonstrated ability with Excel Pivot Tables is highly desired.
  • Proficiency in Google Workspace (Sheets, Drive, Docs) and DocuSign.
  • Excellent interpersonal, organizational, verbal, and written communication skills.
  • Exemplary attention to accuracy and detail in all tasks.
  • Proven ability to manage multiple priorities, work independently, and collaborate effectively as part of a team.
  • Proactive attitude with a strong commitment to providing excellent customer service.

Nice To Haves

  • Familiarity with an order management system is a plus.

Responsibilities

  • Maintain and update Sales Contact Lists, Region Maps, and Distribution Lists to ensure accuracy.
  • Manage the collection, organization, and documentation of sales-related forms, such as Partner Reward and Manufacturer Rep Exhibit D, utilizing DocuSign and Google Drive for efficient record-keeping.
  • Provide support for the routine maintenance of user accounts within the order management system, including processing user creation, changes, and inactivation as directed by the Sr. Coordinator.
  • Assist with the ECN (Engineering Change Notice) review process by tracking data and organizing information on Google Sheets for product discontinuations and transitions.
  • Support the Sr. Coordinator in collaborating with Product Management, DE, Marketing, Channel Strategy, and Sales Planning to gather necessary details for the creation of Product Bulletins.
  • Draft initial bulletin content and format documents for review and final approval by the Sr. Coordinator.
  • Disseminate approved Product Bulletins and other announcements to the Sales Division, including manufacturing representatives.
  • Prepare and distribute internal announcements regarding holidays, shipping schedules, and other sales administrative updates to the Sales Division and manufacturing reps as instructed.
  • Coordinate logistical arrangements for sales meetings and internal events, including sending meeting invitations and tracking RSVPs, preparing meeting agendas and compiling necessary presentation materials, arranging catering, reserving conference rooms, and ensuring audiovisual setup, and booking travel accommodations (hotels, transportation) for attendees as needed.
  • Execute the logistical coordination for plant tours, including assisting with scheduling and managing guest lists, arranging meals, transportation, and hotel accommodations for visitors, and ordering and distributing promotional items ("swag").
  • Collaborate with HR and the Sr. Coordinator to support the coordination of training and onboarding requirements for new TOTO hires within the sales context.
  • Assist the Sr. Coordinator and sales leadership in coordinating training and onboarding logistics for new sales team members and manufacturer representative agencies, as well as managing updates for existing teams.
