About The Position

The Scientific Programs Coordinator, reporting to the Manager, Scientific Programs, provides key administrative support for the Center for Education's Scientific Programs initiatives. This position acts as the principal contact for presenters and submitters, ensuring that all inquiries and concerns are managed efficiently and with a high degree of professionalism. Additionally, the Coordinator contributes to the development of Scientific Program’s content for CRF conferences, symposia, and workshops.

Requirements

  • Bachelor’s degree required.
  • At least 3-4 years of relevant experience.
  • Must have a genuine interest in academics.
  • Skilled in Excel, Outlook, Word, PowerPoint, and database management.
  • Must be flexible, detail-oriented, organized, able to multitask and follow up, exercise sound judgment, and prioritize effectively.
  • Excellent written and verbal communication, patience, professionalism, and ability to work with staff and management.
  • Available for travel up to 5 times yearly (2-4 days each), plus one trip of 7 days.

Responsibilities

  • Serve as a point of contact for Call for Science [CFS]presenters and submitters, providing timely and professional customer service.
  • Manage the full CFS process for assigned meetings, from submission through onsite presentations, ensuring seamless execution.
  • Provide support for CFS at other meetings, working closely with team members on abstracts, late-breaking trials, and poster/oral sessions.
  • Test and review system enhancements to the CFS platform, ensuring functionality and user experience.
  • Generate reports and data extracts for physician leadership and internal decision-making.
  • Coordinate onsite abstract and poster presentations (physical, electronic, moderate, and oral).
  • Monitor faculty expenses and prepare reconciliations; contribute to budget forecasting for future meetings.
  • Maintain program documentation, including databases, forms, reports, timelines, and communications.
  • Ensure compliance with CRF policies, templates, and processes; recommend improvements as needed.
  • Support live case sessions, coordinating contracts, HIPAA forms, vendor communications, and grant invoices
  • Build and maintain strong professional relationships with internationally recognized faculty, course directors, vendors, and industry partners.
  • Act as a reliable liaison between CRF staff, physicians, vendors, and external stakeholders to ensure smooth collaboration.
  • Perform other duties as assigned to support departmental and organizational goals.
