Requirements

  • High school diploma or general education degree (GED) and five years of progressively more responsible clerical experience, including interactions with students and the public in stressful situations; or any satisfactory combination of experience and training, as determined by the hiring authority preferred.
  • Knowledge of English, spelling, composition, grammar and punctuation
  • Knowledge of current office practices, procedures, and office management
  • Knowledge of standard office equipment and machines
  • Knowledge of record keeping and reporting procedures
  • Knowledge of bookkeeping basics
  • Ability to respond to the public in a courteous, efficient manner
  • Ability to work collaboratively with co-workers.
  • Demonstrate proficiency in specific computer software programs, including speed and accuracy in the use of office equipment may be required prior to employment.
  • Criminal Justice Fingerprint Clearance and employer drug and/or alcohol testing
  • Valid Driver’s License
  • Ability to obtain and possess a valid first aid card within three months of employment.
  • Knowledge of English and designated foreign language.
  • In both written and verbal form; use correct punctuation, grammar and spelling.
  • Ability to read and comprehend instructions given orally and/or in writing.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to students, volunteers, coworkers or other employees.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.

Responsibilities

  • Organizes and manages the athletic department and all records
  • Upholds Board of Education Policies
  • Promotes a favorable image of the school district.
  • Refers inquiries requiring policy interpretation to administrative staff.
  • Answers the telephone.
  • Directs calls based on the nature of the inquiry.
  • Respects personal privacy.
  • Maintains the confidentiality of privileged information.
  • Updates athletic handbooks when directed.
  • Prepares information and reports for the Oregon School Athletic Association
  • Maintains an inventory of ticket stock.
  • Helps coordinate athletic program activities (e.g., student/parent orientation sessions, recognition activities, staff in-service programs, etc.).
  • Collaboration with Coaching staff:
  • - Schedule and send out End of season Coach evaluations.
  • - Set-up interview committees for hiring of coaches
  • - Verify and Maintain coaches’ required certifications
  • - Schedule Coaching clinics
  • - Maintain and Process Coaches Key Requests.
  • - Process Premise use agreements.
  • - Make lodging and travel arrangements for coaches, teams, and AD.
  • - Process meal money requests.
  • - Process equipment requests, quotes, ordering and delivery.
  • - Confirm game schedules with coaches, other schools, officials, transportation.
  • - Coordinate end of season banquets and awards for students.
  • - Maintain record of Varsity awards.
  • - Coordinate senior night
  • -Accounts payable—Venders and Team Entry Fees
  • Communication –Set -up and manage Parent and team communication platform:
  • - Supports the preparation of game programs, brochures, public service announcements, etc.
  • Athletic Participation, Eligibility & Registration
  • - Organize, review, record and maintain all required athlete participation forms
  • - Maintain and Update student and staff Rosters, Sports Physicals and registration dates and requirements.
  • - Run and Send weekly grade report of each athlete to Coaches and Admin staff in the current sport season.
  • - Process and record Grade check forms.
  • - Maintain knowledge of OSAA and SD21 requirements for student eligibility.
  • Budget
  • - Track yearly expenditures.
  • - Communicate budget with Athletic Director.
  • - Budget transfers as directed by Athletic Director.
  • - Prepares game reports.
  • Ensures that receipt and expense records are suitable for audits.
  • Prepares and makes bank deposits.
  • Premise use agreements PUAs
  • - Confirm no conflict with SD21 facilities calendar.
  • - Work closely with facilities/operation department for facilities needs.
  • Schedules
  • - Ensure Master Schedules are updated in various places when needed.
  • - Maintain schedule on district website.
  • - Add Home games to the district calendar.
