The ideal candidate will have will have Deltek Vision experience and a strong background in accounting and administrative functions, be familiar with organizational policies and procedures, and exhibit independent judgment in managing workflow within the Accounting/Finance Division. This position partners closely with Project Managers, Project Directors, and the Project Operations Manager to ensure accurate billing, timely collections, and a smooth client experience. Requirements

  • Minimum of 3 years of progressively responsible experience in accounting, finance, or billing‑related roles.
  • Experience working in a project‑based, client/consultant business environment.
  • Strong working knowledge of Microsoft Office applications; experience with Deltek Vision or similar ERP systems preferred.

  • Associates degree in Accounting, Finance, Business, or a related field preferred.

Responsibilities

  • Review monthly billing draft documents and determine billable items for each project based on contract terms, project status, and internal guidance.
  • Create and lead monthly billing meetings with Project Managers to review draft billing packages and confirm accuracy.
  • Prepare marked up billing drafts and route them to Project Directors for approval.
  • Provide approved billing drafts to the Manila Finance Team for final invoice preparation.
  • Review invoices prepared by the Finance Team for accuracy, completeness, and alignment with project budgets and contract requirements.
  • Assemble and process complete client invoice packages, including required backup such as progress reports, project labor detail reports, and supporting documentation.
  • Email finalized invoice packages to clients and upload them to client portals as required.
  • Maintain and update the Master Client Portal Workbook to track portal requirements, login details, and submission statuses.
  • Backup for project setup for the Manila team
  • Monitor aging reports and proactively contact clients regarding past due invoices.
  • Document all client communications, responses, and follow up actions in the accounting system.
  • Collaborate with Project Managers and the Accounting Supervisor to resolve client questions, disputes, or invoice discrepancies.
  • Track and escalate collection issues when necessary to ensure timely resolution and cash flow stability.
  • Work closely with Project Managers to understand project billing structures, contract terms, and client expectations.
  • Coordinate with the Accounting Supervisor to address complex billing issues, revenue timing, and client escalations.
  • Support continuous improvement of billing workflows, documentation standards, and AR processes.
  • Provide backup to Finance Team during PTO
  • Perform additional assignments, as directed
