Summary The Senior Administrative Assistant serves as a strategic partner to the Vice President of Human Resources, helping drive an innovative, people centered HR function that prioritizes empowerment and collaboration over control. This role blends executive support, operational leadership, and project coordination - powered by technology, continuous improvement, and a commitment to exceptional service. The ideal candidate is proactive, adaptive, and energized by building better ways of working in a fast-moving environment.

Requirements

  • Bachelor’s degree or higher in a related field
  • Minimum of 3 years of experience providing executive level administrative or operations support.
  • Proven ability to prioritize and manage multiple tasks efficiently in a fast-paced environment.
  • Strong written and verbal skills; accurate typing (50+ WPM) and meeting documentation.
  • Advanced use of Microsoft Office Suite, Adobe Acrobat, and other tools; committed to continuous improvement and leveraging technology for operational excellence.
  • Service-oriented and collaborative; supports and uplifts others across the organization.
  • Highly organized, proactive, and adaptable; seeks opportunities to streamline processes.
  • Fosters a culture of belonging and well-being by creating opportunities for all individuals to contribute, grow, and thrive in their roles.

Responsibilities

  • Strategic & Executive Partnership Acts as a trusted extension of the VP of HR, anticipating needs and ensuring clarity, focus, and momentum across priorities.
  • Creates polished, executive ready briefs, reports, and presentations that translate data and ideas into actionable insights.
  • Strengthens alignment across HR leaders by fostering transparent communication, shared accountability, and partnership.
  • Operational Leadership in a Modern HR Environment Drives efficient, tech enabled workflows that elevate the employee experience and streamline the way our department operates.
  • Advises department staff through a leadership lens grounded in empowerment, feedback, and growth.
  • Champions systems, digital tools, and automation that simplify processes and enable more strategic work.
  • Innovation, Project Management & Continuous Improvement Tracks and advances HR initiatives using transparent project management methods that encourage collaboration and ownership.
  • Helps translate complex ideas into clear project plans, milestones, and measurable outcomes.
  • Identifies opportunities to improve processes - and lead the charge to design, test, and implement better solutions.
  • Budget Leadership & Resource Stewardship Supports management of departmental budgeting, expenses, and reconciliation, with accuracy, foresight, and a strategic mindset - ensuring resources fuel the initiatives that matter most.
  • Partners with vendors and internal stakeholders to align contracts and services with our culture, goals, and financial expectations.
