About The Position

The Senior Client Associate will provide end-to-end operational and client service support to the advisory team. This role goes far beyond traditional administrative support and requires someone who can work independently, manage multiple workflows simultaneously, and confidently interact with both clients and advisors. You will own key operational processes including account openings, money movement, custodian coordination, and complex paperwork.

Requirements

  • Several years of experience (3–8+) in wealth management, RIA, or financial services
  • Experience as a Client Associate, Senior Client Associate, or similar role
  • Highly organized, detail-oriented, and proactive - you notice issues before they become problems
  • Comfortable working independently
  • Confident but collaborative communication style
  • Someone who wants to own this role long-term, not transition into an advisor track

Nice To Haves

  • Registration preferred (Series 7/63 or 66)
  • Deep familiarity with custodial platforms (Schwab strongly preferred)

Responsibilities

  • Manage end-to-end account openings, transfers, and maintenance, with a heavy focus on Schwab & Pershing workflows
  • Process time-sensitive money movement, including wires and transfers, with a high degree of accuracy
  • Track and follow paperwork through internal systems and custodians (Sanctuary, Advisor Ops, Orion, custodial portals, etc.)
  • Maintain complete, accurate, and compliant client records across CRM and portfolio systems
  • Serve as a primary point of contact for clients on operational and account-related matters
  • Confidently handle phone-based client interactions, including complex or sensitive requests
  • Support advisors with onboarding activity and ongoing client service needs
  • Navigate demanding client and advisor expectations with professionalism and discretion
  • Assist with compliance-related documentation and adhere to firm and regulatory requirements
  • Identify opportunities to improve workflows, documentation processes, and operational efficiency
  • Partner with internal teams and custodians to resolve issues and ensure timely follow-through
