About The Position

The Senior Director, Marketing Operations serves as the operational leader for the US Rare Tumors business unit, overseeing MLR, speaker and HCP engagement, advisory boards, congresses and field exhibits, POA operations, print and fulfillment, and business unit financial processes. This role ensures compliant, efficient, and high‑quality execution across three launch brands and two therapeutic areas while driving continuous improvement and operational integration across systems and processes. Partnering closely with Marketing, Sales, Market Access, Medical Affairs, Compliance, Regulatory, Legal, Finance, and key external vendors, this individual will enable speed‑to‑market and operational excellence in a highly regulated environment. Reporting to the Vice President of U.S. Rare Tumors Marketing, this individual leads a team supporting three brand teams and two regional marketing teams, and is a critical driver of cross‑functional collaboration, scalable processes, and commercial impact.

Requirements

  • Bachelor’s degree with 8+ years of pharmaceutical/biotech experience, including at least 4 years in Marketing Operations, meetings management, or project management
  • Strong knowledge of pharmaceutical and promotional regulations; experience in high‑risk contracting environments
  • Proven project and vendor management skills, including budgeting, prioritization, logistics, and performance oversight
  • People and team leadership experience
  • Successful track record in understanding the U.S. regulatory environment and navigating the medical, regulatory, legal review process

Responsibilities

  • Serve as a strategic partner to launch brands, aligning Marketing Operations with commercial objectives across potential indications.
  • Develop and implement a Marketing Operations strategy tailored to brand needs and business priorities; drive continuous improvement, change management, and scalable ways of working across teams and systems.
  • Conduct business process assessments, improvement recommendations and implementation.
  • Identify gaps and recommends solutions for streamlining processes and creating efficiencies.
  • Gather requirements for process improvements, implement with business partners as appropriate.
  • Lead, coach, and develop a team; set priorities, KPIs, and operating rhythms.
  • Establish SOPs, SLAs, templates, playbooks, and governance to ensure speed, quality, and compliance at scale.
  • Own the end‑to-end MLR operating model, ensuring high‑quality submissions, efficient queue and timeline management, compliant review cycles, and robust version control.
  • Lead the full promotional review process, including PromoMats workflow management, meeting scheduling and facilitation, agenda ownership, project tracking, and documentation of decisions.
  • Manage critical systems (e.g., Veeva Vault PromoMats) and optimize workflows for content intake, review, approval, and version control. Lead the U.S. integration of Veeva PromoMats instances across BUs.
  • Ensure timely, compliant review of all HCP and patient‑facing materials, maintaining audit‑ready documentation, scientific accuracy, and fair balance.
  • Track materials from submission through approval, proofing, and OPDP submission in partnership with Regulatory.
  • Work closely with reviewers, project originators, and agencies to resolve issues, clarify feedback, and ensure aligned outcomes.
  • Manage PRC timelines related to labeling updates, POA cycles, speaker trainings, and other key commercial events.
  • Provide training and ongoing support for PromoMats users; troubleshoot system issues and ensure compliant usage across teams.
  • Proactively update and maintain material expiration cycles, periodic reviews, and system enhancements by gathering stakeholder input.
  • Communicate project timelines and priorities to brand teams and agencies to balance competing commercial demands.
  • Build strong relationships with PRC committee members and commercial stakeholders to improve process efficiency and collaboration.
  • Develop and deliver quarterly PRC metrics and insights to evaluate productivity, timeliness, and process effectiveness.
  • Lead budget planning, resource allocation, and vendor strategy; support RFPs led by the team, oversee agency onboarding, manage performance, and align contracts/SOWs.
  • Support the translation of customer engagement plans into high‑performing omnichannel campaigns across HCP, patient, and caregiver audiences; partner with Analytics to integrate insights for design and optimization.
  • Ensure systems and data readiness to track campaign effectiveness across areas of responsibility; define measurement plans and dashboards.
  • Provide team oversight, support and guidance on:
  • speaker programs and HCP/patient engagements end‑to-end (nomination, FMV/caps, contracting, onboarding, logistics, transparency reporting, payments, reconciliation).
  • advisory boards from planning through insights capture, ensuring compliance, quality, and brand alignment.
  • national congresses and field exhibits: strategy/prioritization, booth production and logistics, housing/registrations, on‑site operations, and vendor management.
  • national POAs - strategy, content standards, agendas, logistics, and post‑event learning loops.
  • print & fulfillment framework (version control, inventory/portal UX, vendor/3PL management, cost/quality/speed optimization; ordering rules).
  • SOW/PO lifecycle, budget tracking, forecasting, accruals, and reconciliations with Finance.
  • onboarding/offboarding processes, organizational documentation (org charts, rosters, DLs), intranet/SharePoint content, and the field communications archive.
  • Ensure rigorous compliance with industry regulations and company policies (FDA, PhRMA, OIG, Sunshine/ToV, and state rules) and proactive risk mitigation.
  • Manage team in the development and delivery of training programs for internal stakeholders and agencies on processes, systems, and best practices.
  • Oversee the design and development of operational dashboards; present insights and implement multi‑cycle improvement roadmaps.
  • Other responsibilities as assigned.
