The Senior Executive Assistant position reports to the Chief Executive Officer (CEO) and Chief Operations Officer (COO) and serves as a trusted partner to senior leadership, providing high-level administrative, operational, and organizational support across the company. This role supports the entire executive team, with focused attention on the CEO and COO, and plays a critical role in ensuring executive effectiveness, operational continuity, and cross-functional coordination. This position requires exceptional judgment, discretion, anticipation of executive needs, and the ability to operate independently in a fast-paced, dynamic environment.

Requirements

  • 8 – 12+ (eight to twelve) years of experience supporting senior executives (C-suite or equivalent) in a complex, multifunctional organization
  • Must have experience supporting multiple executives simultaneously, with direct CEO and COO partnership
  • Must have a strong background in executive operations, administration, facilities, event planning, and cross-functional coordination
  • Must be able to manage sensitive information with the highest level of confidentiality and professionalism
  • Must be effective in operating in a dynamic environment with shifting priorities
  • Must have a service-oriented mindset with executive-level judgment
  • Must have advanced proficiency with Microsoft Office and comfort learning new systems
  • Must have strong communication skills both oral and written
  • Must be able to multi-task, stay organized, work independently, and collaborate with various project teams
  • Must have exceptional organizational and prioritization skills
  • Must be able to anticipate needs and solve problems independently
  • Must be highly proactive, resourceful, and detail-oriented

  • Must be able to work in a fast-paced environment with high-volume workload and frequent short deadlines

  • Must be able to work 10-hour days on occasion
  • Must be able to work remaining in a stationary position, often standing or sitting for prolonged periods
  • Must be able to travel occasionally, possibly overnight for customer meetings and site visits up to 5% of the time

Responsibilities

  • Provide proactive, high-level support to the CEO, COO, and broader executive team, including complex calendar management, domestic travel coordination, meeting preparation and recordkeeping, and coordination
  • Act as an operational extension of the executive team, managing workflows, tracking action items, and ensuring follow-through on key initiatives
  • Prepare high-quality presentations, reports, and key performance indicator (KPI) or financial data packages for executive team meetings
  • Anticipate executive needs and independently manage priorities to maximize leadership efficiency
  • Serve as a liaison between various internal management teams
  • Manage expense reports, document management, and executive records with accuracy and confidentiality
  • Assist with development and implementation of corporate operational and finance processes, including policy development, training, and compliance monitoring
  • Lead or support operational change initiatives and technology implementations
  • Assist with implementation of the corporate training program, including scheduling, employee enrollment, uploading and tracking in the HRIS, etc.
  • Oversee administrative coordinators at various office locations; provide mentorship, training, and standardization of best practices
  • Support the Facilities Manager in facilities-related operations, including office moves, space planning, vendor relationships, and building services
  • Lead planning and execution of onsite and offsite events, meetings, and retreats ranging from small leadership sessions to large-scale company events
  • Manage vendor negotiations, contracts, and service agreements to ensure quality and cost efficiency
  • Partner with Operations and Finance on onboarding, project accounting, training, and policy and process implementation
  • Lead or contribute to special projects that require executive-level coordination and discretion
  • Identify opportunities for process improvement, cost savings, and increased organizational efficiency
