About The Position

Provides exceptional service to the business by greeting and assisting all visitors and by answering and transferring incoming calls from across the United States.

Requirements

  • High school diploma or equivalent.
  • 2+ years of prior switchboard or receptionist experience.
  • Proficiency with MS Office Suite, specifically Word and Excel.
  • Excellent customer service skills and strong attention to detail.
  • Ability to handle multiple tasks simultaneously.
  • Strong organizational and communication skills.

Responsibilities

  • Greet visitors warmly and professionally, creating a positive first impression.
  • Manage emails with attention to detail, discretion, and confidentiality.
  • Distribute name badges to visitors, temporary employees, and contractors.
  • Issue facility access cards to employees.
  • Check in guests efficiently and issue visitor badges.
  • Promptly notify hosts of visitor arrivals.
  • Ensure all visitor protocols are followed to maintain security and hospitality standards.
  • Schedule meeting rooms for all departments.
  • Assist in preparing conference rooms for meetings of various sizes.
  • Ensure rooms are set up according to requirements, including seating, A/V, and materials.
  • Coordinate catering orders based on meeting needs and dietary preferences.
  • Track invoices and confirm timely delivery and proper setup of food and beverages.
  • Verify sound, video, and connectivity are functioning properly.
  • Troubleshoot and resolve minor technical issues to minimize disruptions.
  • Perform light administrative duties as needed.
  • Assist with PC support tasks.
  • Update company phone and speed-dial lists in a timely manner.
  • Manage the issuing of company loaner cell phones.
  • Assist Administration or other teams with tasks such as envelope labels, compiling manuals, and more.
  • Act as a model for company Vision, Values, and Mission.
  • Build professional relationships with customers and internal teams.
  • Perform other duties as assigned.
  • Understand and support other work areas as needed.
