About The Position

Provides administrative and operational support to the Field Service teams. This role supports service activities, customer satisfaction, and internal coordination by ensuring accurate system administration, effective communication, and timely completion of tasks while developing knowledge of service operations and company processes.

Requirements

  • Strong organizational skills with attention to detail.
  • Ability to follow established processes and instructions accurately.
  • Good verbal and written communication skills with professional phone etiquette.
  • Ability to work effectively in a team environment.
  • Basic proficiency in Microsoft Word, Excel, PowerPoint, and email systems.
  • Willingness to learn CRM and ERP systems (Salesforce, SAP, or equivalent).
  • Ability to multitask and manage routine administrative work.
  • Confidence working in a diverse and multicultural environment.
  • Ability to read, write, and communicate in English.
  • Customer-focused mindset with the ability to remain calm and professional.
  • High School Diploma or equivalent required.
  • 0–1 year of administrative, customer service, or office support experience preferred.

Nice To Haves

  • Experience in a service, technical environment is an advantage but not required.

Responsibilities

  • Provide general administrative and clerical support to Field Service, Customer Service, and department managers.
  • Serve as an initial point of contact for customer and internal service-related inquiries, escalating issues as appropriate.
  • Create, prioritize, and allocate Cases/Work orders from Salesforce to the appropriate Field Service Engineers, ensuring timely response and resolution.
  • Assist with reviewing and editing Field Service reports and documentation for completeness and accuracy.
  • Maintain accurate data in Service Systems (CRM and ERP/SAP) in line with company standards.
  • Assist with the creation, tracking, and administration of service contracts and related documentation.
  • Support spare parts administration, including inventory tracking and documentation.
  • File, maintain, and organize service-related records, reports, and customer documentation.
  • Assist with compliance, quality, and regulatory documentation as instructed.
  • Submit completed paperwork in a timely and organized manner to support service operations.
  • Complete required LMS and role-specific training to build service and system knowledge.
  • Perform other administrative and support duties as assigned.
