About The Position

The Service Operations Assistant supports the daily operations of the Service and Parts Departments while helping deliver an outstanding customer experience. This role assists with service lane organization, customer transportation, vehicle movement, parts deliveries, and general operational support. The position plays an important role in maintaining efficient workflow within the service department while ensuring a professional and welcoming environment for customers.

Requirements

  • High school diploma or equivalent.
  • Valid driver’s license with acceptable driving record.
  • Strong customer service and communication skills.
  • Ability to safely operate customer and dealership vehicles.
  • Basic computer proficiency including Google Docs and spreadsheets.
  • Ability to work both independently and within a team environment.
  • Strong organizational and multitasking skills.
  • Standing and walking for extended periods (6–8 hours).
  • Frequent bending, reaching, stretching, and lifting.
  • Visual acuity sufficient for safe vehicle operation and reading computer screens.

Responsibilities

  • Provide safe and professional shuttle transportation for service customers.
  • Coordinate transportation with service advisors to ensure timely customer pick-up and drop-off.
  • Perform customer vehicle pick-up and delivery when required.
  • Maintain cleanliness and condition of the shuttle vehicle.
  • Follow all traffic laws and dealership safety policies.
  • Maintain a clean, organized service lane and customer parking areas.
  • Move vehicles between the service lane, technician bays, detail department, and other dealership locations as directed.
  • Pull completed vehicles to designated customer pick-up areas.
  • Assist with tagging vehicles during peak service times.
  • Keep front parking spaces available for arriving service customers.
  • Maintain cleanliness of service lane floors, entry doors, windows, and surrounding areas.
  • Deliver parts between dealership buildings, vendors, and local repair facilities when needed.
  • Pick up parts from suppliers or other dealerships as directed.
  • Assist with periodic parts inventory counts.
  • Support organization of incoming parts deliveries and parts storage areas.
  • Assist the Parts Manager with operational tasks when required.
  • Provide friendly, professional interaction with all service customers.
  • Assist with coordinating loaner vehicles including location tracking and mileage logs.
  • Fuel dealership vehicles as directed.
  • Spot clean customer vehicles when needed to enhance customer experience.
  • Assist with basic customer communication when service advisors or BDC staff require support.
  • Help confirm service appointments or relay customer messages when necessary.
  • Access and utilize dealership systems including Google Chrome, Google Docs, and spreadsheets when required.
  • Assist in calling customers that have vehicles that need to have manufacturer's recalls performed.
  • Conduct weekly inspections of service lane and customer areas.
  • Maintain cleanliness of service drive areas including floors, trash removal, and general presentation.
  • Perform additional support tasks to assist service advisors, technicians, and parts staff in maintaining efficient operations.
