About The Position

The Onsite coordinator is responsible for ensuring smooth daily operations within the manufacturing site by providing administrative, logistical and communication support to site leadership, employees, and frontline teams. This role prioritizes executive-level administrative support while also playing a vital role in site-wide communication, event coordination, and employee engagement. This role acts as the central point of coordination for scheduling, communication, documentation, visitor management, training logistics and site wide administrative processes. The coordinator ensures that site operations run efficiently, information flows accurately, and compliance standards are upheld. This role is essential in a fast-paced high precision manufacturing environment where organization, responsiveness and attention to detail directly impact site performance.

Requirements

  • HS Diploma or GED equivalent
  • 2-4 years of admin, coordination or operations support experience
  • Strong proficiency in Microsoft 365
  • Experience supporting fast paced multi shift environments
  • Excellent communication, organization, and prioritizations skills
  • Ability to maintain confidentiality and handle sensitive information.

Responsibilities

  • GM Support: Manage calendar, process expense reports and support special projects as needed.
  • Daily site operations support: Coordinate daily production meetings, prepare agendas, capture minutes and track action items. Maintain site wide calendars (shutdowns, audits, customer visits, training, maintenance). Assist with reporting, KPI dashboards, and documentation updates
  • Admin & Document management: maintain accurate records, logs, and filing systems. Prepare correspondence, reports, presentations, and communication materials.
  • Workforce and Training Coordination: Coordinate onboarding logistics for new hires (badges, PPE, training schedules). Schedule and track required training for production employees. Assist supervisors with communication, scheduling and employee documentation.
  • Visitor, Contractor & Customer coordination: Manage visitor check in, badges, and escort requirements. Coordinate logistics for customer visits, audits and supplier meetings. Ensure compliance with security and export control protocols.
  • Plant Logistics and Facilities support: Coordinate meeting room scheduling, plant events and employee communications. Support PPE inventory, office supplies and facility requests. Submit and track maintenance or IT service tickets
  • Communication and Engagement: Serve as the communication hub between site leadership, employees and frontline teams. Draft and distribute site announcements, newsletters, and bulletin board updates. Support employee engagement activities and recognition programs.
  • Continuous Improvement and Standardization: Identify opportunities to streamline admin processes. Maintain standard operating procedures for administrative workflows.
  • Mentorship: Act as a mentor to new employees, providing guidance during their onboarding process.
