About The Position

As a Site Operations Manager, you will work in collaboration with site leadership, program staff, and school site administration to ensure site operations and clerical administrative responsibilities are maintained and delivered with great efficiency and high quality. This position reports to the Vice President, Redwood City Clubhouse.

Requirements

  • Bachelor’s degree preferred or current college student with at least 48 units completed
  • Past experience as an administrative assistant or operations experience preferred
  • Highly organized, detail oriented, flexible and dependable
  • Proven ability to multitask effectively, meet competing deadlines and work cross functionally
  • Proficient in Microsoft programs (Word, Excel, Powerpoint), GSuite, Outlook, Canva and Adobe Photoshop
  • Friendly, positive attitude, and enjoys working with a diverse staff, youth and parents

Nice To Haves

  • Spanish fluency is preferred

Responsibilities

  • Manage site operations to ensure program staff can focus on running high-quality programs for students
  • Occasionally serve as the receptionist, greeting students, visitors, parents, and volunteers
  • Perform regular administrative duties that include but are not limited to calendar management for site leadership, preparing correspondence, and generating reports as requests
  • Assist site leadership with purchases, reimbursements, and expense reporting
  • Supply and inventory management, responsible for replenishing office and program supplies, and manage IT Equipment protection against loss and damage
  • Manage student enrollment through Salesforce database ensuring accuracy of site data, specifically ADA, and generate reports on membership data
  • Support logistics to ensure site security and safe, effective sign-in and sign-out procedures
  • Maintain strong relationships with students, parents, school staff, external vendors, and partners, as well as create a welcoming environment for visitors and volunteers
  • Manage and facilitate tours to new members and visitors
  • Manage teen staff and part-time front desk staff to include direct reporting, time and attendance, performance management, and their training
  • Oversee schedule management, including communications with the district and school as well as with parents, visitors, and volunteers about closures or other events that impact programming
  • Manage program facilities, coordinating logistics between school site and school partners
  • Participate in executing logistics for special events and field trips , transportation as needed
  • Ensure BGCP is adhering to site-wide behavior standards and discipline policies
  • Create a positive work atmosphere and foster teamwork and constructive exchange of ideas with peers

  • Organization and cleanliness of BGCP facilities - ensure that the office is neat and organized and fosters physical and emotional safety and customer service
  • Translate activity flyers, program schedules, communication to parents, etc. from English to Spanish (if applicable)
  • Undertake other administrative tasks as assigned
