Assists with the supervision of staff employees and site issues.

  • High school graduate or equivalent.
  • Prefer individual with two to three years’ office experience.
  • Medical office experience and terminology helpful but not required.
  • Must be computer literate.
  • Must have strong analytical, oral and written communication skills.

  • Perform all duties in compliance with Galen Medical policies, HIPAA and OSHA standards.

Responsibilities

  • Manage all Clerical Staff (Medical Records, Schedules, Front Desk, Phones, Billing & Referrals) with job shadowing the area, setting all clerical employee schedules, training and direct report for clerical employees for issues or problem solving.
  • Act as back up for Regional/Department Manager for all site issues and supervision of staff issues in her absence.
  • Order office supplies, maintain office equipment, report equipment readings to the vendor for billing purposes.
  • Assist with handling all patient complaints and problems unless they specify they want to speak to the Office Manager.
  • Assist the Billing Department with follow up procedures for the collection list by signing off to send to Collections Agency or Writing Off Balance per physician ‘s request.
  • Oversee Billing – CPT & ICD-10.
  • Mail out No Show letters to patients.
  • Attend all EMR Super User meetings and be available for your staff.
  • Coordinating marketing events such as health fairs, patient education seminars and site events.
  • Give input on all clerical personnel for evaluations.
  • Perform edits to timecards for payroll processing in the absence of the Manager.
  • Coordinate leasing open office space at other locations
  • Assist manager with troubleshooting operational problems.
  • Assist to ensure site is compliant with all federal and state regulations.
  • Assist management with coordination of any site meetings.
  • Assist with scheduling business appointments for physicians and/or management.
  • Maintain schedule of events, meetings, etc. for site physicians.
  • Assist with travel arrangements and reservations for management and/or site physicians.
  • Assist with reproduction of materials for site employees and/or patients.
  • Assist clerical personnel in the performance of their duties as assigned and as workload permits.
  • Function as relief for clerical personnel in the office as appropriate and to facilitate co-workers’ absence in the office.
  • Recognize and demonstrate cost-effective measures in utilization of supplies and equipment.
  • Maintain strictest confidentiality of all company records, including verbal and written records.
  • Other duties as assigned by Regional/Department Manager and Site Physicians.
