About The Position

The Harmony Grove School District is hiring for the position of Special Education/Due Process Secretary for the 2026-2027 school year. The candidate will be responsible for supporting all programs and initiatives under the direction of the Special Education Supervisor. The position requires knowledge of secretarial duties such as typing, bookkeeping, responding to telephone calls, and maintaining files and records. The secretary will also function as a liaison between client-parents and the professional support staff.

Requirements

Responsibilities

  • Maintain professional behavior, appearance, and work ethic to represent the school district in a positive manner at all times.
  • Articulate a positive image of the school district and school district personnel.
  • Type correspondence such as letters, memos, reports, forms, etc. for the Special Education Department.
  • Answers routine telephone inquiries regarding department programs and procedures.
  • Takes messages and routes other telephone calls.
  • Maintains general office files, including student special education records.
  • Maintains current teacher rosters and master lists for special education and 504 students.
  • Provides monthly reports for annual reviews, re-evaluations, and teacher rosters.
  • Maintains current data on each special education student.
  • Maintains supply of all special education forms; orders materials and equipment for office and department.
  • Process referrals to the Special Education Department.
  • Operates office equipment such as copiers, computers, fax, etc.
  • Implements and maintains accounting systems for VI-B Special Education Funds, Medicaid Funds, and Special Education Activity Funds.
  • Prepares purchase orders for approval and purchases.
  • Processes all special education materials, supplies, and equipment.
  • Processes and maintains accurate inventory records for the Special Education Department.
  • Maintains appropriate documentation for purchased services and reimbursement for residential and extended year services.
  • Generates accurate information for completing special education reports, such as program summaries, December 1 Child Count, Annual Data Report, and other reports required by federal, state, and local regulations.
  • Sorts mail and fills requests for due process forms.
  • Maintains and collects special education due process forms and packets.
  • Monitors required due process in folders and retrieves appropriate information from records as requested.
  • Process and maintain due process information for referrals, annual reviews, and separate programming conferences.
  • Process and maintains information for pre-referrals; implements and maintains tracking system for preschool transition students; and obtains records on transfers.
  • Implements and maintain billing system for Medicaid reimbursement as set forth by federal regulations.
  • Other duties as assigned.
