About The Position

This role aligns to an Executive Assistant. Reports To: Leaders of UX Design, Courseware Product Management, and Program Management & Data Role Summary The Executive Assistant (EA) provides high-level administrative and operational support to three senior leaders overseeing UX Design, Courseware Product Management, and Program Management & Data. This role ensures leadership is equipped to drive execution, collaborate cross functionally, and maintain momentum on key priorities. The EA acts as a trusted partner—anticipating needs, removing obstacles, enabling communication, and creating structure in a dynamic, fast-moving environment. This position requires a proactive mindset, strong communication skills, and the ability to work independently while navigating sensitive information and complex stakeholder groups.

Requirements

  • 5+ years providing executive-level administrative support, ideally in product, technology, design, or data-driven organizations.
  • Strong calendar management, prioritization, and problem-solving skills.
  • Demonstrated experience supporting multiple leaders or teams simultaneously.
  • Exceptional written and verbal communication skills.
  • High proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint).
  • Ability to anticipate needs and operate with a high degree of autonomy, adaptability, and professionalism.

Nice To Haves

  • Experience supporting product development, design, or program management functions.
  • Familiarity with agile methodologies, product life cycles, design processes, and data-centric operations.
  • Comfort working with technical teams and interpreting operational workflows.

Responsibilities

  • Manage complex and dynamic calendars across three leadership portfolios; schedule cross-functional meetings, design reviews, product touchpoints, and operational syncs.
  • Drive seamless, proactive calendar management by anticipating conflicts, safeguarding strategic focus time, and coordinating complex multi‑stakeholder meetings with accuracy and minimal disruption.
  • Coordinate travel, logistics, and expense reporting.
  • Prepare leaders for upcoming engagements by consolidating briefs, materials, agendas, and follow-ups.
  • Act as a liaison between leaders and internal/external stakeholders—ensuring crisp, timely, and professional communication.
  • Help prepare messages, updates, and internal announcements for broad audiences.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Partner with HRBPs, Finance, and Operations partners on tasks such as hiring coordination, onboarding, procurement, and budget tracking.
  • Help support a positive team culture through event coordination, recognition programs, and team-building activities.
