The Specialist, Candidate Programs manages the day-to-day operations and compliance of the enterprise Background Check Program, supporting domestic and international hiring activities. This role ensures accurate and timely background screening processing, candidate data integrity within Workday ATS, and adherence to regulatory and organizational standards, while managing candidate and stakeholder inquiries through ServiceNow case management. The position partners closely with Legal, Talent Acquisition, HR Operations, Risk Management, external screening vendors (including Accurate), and project teams to support hiring initiatives, compliance requirements, and M&A-related integration efforts. Success is measured by adherence to service level agreements (SLAs), audit readiness, data accuracy, timely case resolution, program performance metrics, and effective stakeholder and candidate communication. This is a hybrid role (3 days/week in the office) and will be based in Overland Park, KS.

Requirements

  • Bachelor’s Degree OR combination of education and experience deemed equivalent (Required).
  • Working knowledge of background screening processes, compliance standards, and adjudication guidelines (Required).
  • Strong attention to detail with ability to ensure data accuracy and audit readiness (Required).
  • Ability to self-organize and manage daily tasks with minimal supervision (Required).
  • Ability to manage multiple, sometimes conflicting priorities while meeting service level agreements (Required).
  • Outstanding service orientation, sense of urgency, and high level of personal integrity when handling sensitive candidate information (Required).
  • Ability to analyze reports and program metrics and make recommendations based on data (Required).
  • Strong cross-functional collaboration skills; ability to work effectively with Legal, Talent Acquisition, HR, vendors, and project teams (Required).
  • Ability to work well under pressure and adapt quickly to changing business or regulatory requirements (Required).
  • Effective communication skills with demonstrated follow-through while serving as a dependable point of contact for stakeholders and candidates (Required).
  • Intermediate proficiency in Microsoft Office, including Excel and reporting tools (Required).

Nice To Haves

  • 1+ years of administrative, HR, recruiting operations, or compliance experience (Preferred).
  • Experience supporting background check programs, recruiting operations, or candidate lifecycle processes (Preferred).
  • Experience managing domestic and international background screening processes (Preferred).
  • Experience working within Workday ATS (Preferred).
  • Experience working with Accurate or similar background screening vendors (Preferred).
  • Experience using ServiceNow or other case management systems in an HR or shared services environment (Preferred).

Responsibilities

  • Serve as the primary point of contact for background check inquiries across HR and Talent Acquisition channels, ensuring timely resolution and high service quality.
  • Manage and resolve background check-related cases within ServiceNow, ensuring accurate documentation, proper categorization, SLA adherence, and clear communication with stakeholders and candidates.
  • Manage the end-to-end background check process for domestic and international candidates, including initiation, monitoring, issue resolution, and case closure.
  • Support and maintain candidate data integrity within Workday ATS, ensuring accurate integration between recruitment and screening workflows.
  • Partner with Legal, Risk Management, and Talent Acquisition to adjudicate background check results using established business guidelines and compliance standards.
  • Coordinate with external screening vendors, including Accurate (preferred experience), to manage case escalations, system functionality issues, and service performance.
  • Maintain and monitor service level agreements (SLAs) for background screening turnaround times and candidate communications.
  • Support compliance with federal, state, and international background screening regulations, including documentation retention, audit readiness, and proper case documentation.
  • Analyze background screening reports and ServiceNow case trends to identify risks, recurring issues, and opportunities for process improvement.
  • Provide troubleshooting support to recruiters, hiring managers, and candidates regarding screening status, system functionality, and process navigation.
  • Collaborate with cross-functional project teams to support mergers and acquisitions (M&A) initiatives, including employee transition screenings, system integrations, and data validation.
  • Maintain documentation, standard operating procedures (SOPs), and process guides to ensure consistent program execution.
  • Support additional candidate program initiatives and special projects as assigned by business management.
