About The Position

The Sport Administrative Director supports the YMCA of the Pikes Peak Region’s sports department by providing centralized administrative leadership, operational coordination, and logistical support across all YMCA sports programs and centers. This position works closely with the Executive Director of Integrated Health and Wellness and Center Sports Directors to ensure seamless operations across youth and adult sports programs. The role is responsible for scheduling coordination, venue procurement, school and municipal partnerships, purchasing and payment processing, program logistics, and administrative systems that support high-quality YMCA sports programming. The Sport Administrative Director ensures that all sports operations are organized, efficient, compliant, and aligned with the YMCA’s mission of youth development, healthy living, and social responsibility.

Requirements

  • Bachelor’s degree in Sports Management, Recreation, Business Administration, or related field preferred.
  • 2–5 years experience in sports administration, recreation management, or program coordination.
  • Experience working with youth sports programs, leagues, or community recreation.
  • Highly organized with exceptional attention to detail.
  • Strong communication and relationship-building skills.
  • Ability to coordinate complex schedules across multiple facilities.
  • Proficient in Microsoft Office, scheduling systems, and program management software.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.

  • Experience in scheduling, event logistics, or program administration preferred.

Responsibilities

  • Provide association-wide administrative support to the Executive Director of Integrated Health and Wellness and all Center Sports Directors.
  • Coordinate operational systems across all sports programs to ensure consistency and efficiency.
  • Manage and maintain centralized administrative processes including program documentation, registrations, schedules, and reporting.
  • Support department-wide planning, logistics, and implementation of youth and adult sports leagues, tournaments, camps, and clinics.
  • Maintain detailed program records, statistics, and participation reports.
  • Serve as the primary administrative liaison between the YMCA and regional schools, parks departments, and municipal facilities.
  • Coordinate scheduling and procurement of athletic venues including gyms, fields, and event spaces.
  • Manage facility use agreements, contracts, and permits when necessary.
  • Maintain strong relationships with school districts, city recreation departments, and community partnersto support sports programming expansion.
  • Oversee association-wide sports scheduling systems, including: Practice schedules Game schedules Tournament logistics Facility allocation
  • Ensure schedules are communicated clearly to staff, coaches, volunteers, and community partners.
  • Coordinate seasonal sports calendars across all YMCA centers.
  • Manage sports department purchasing including: Equipment Uniforms Awards Supplies
  • Coordinate ordering, invoice processing, and payment submissions.
  • Ensure purchases remain within departmental budgets.
  • Track program-related expenses and assist in budget oversight.
  • Maintain sports department systems including: League registrations Team assignments Rosters Communication databases
  • Support sports directors with administrative workflows that improve efficiency across centers.
  • Assist with documentation, reporting, and internal communications.
  • Provide administrative support for recruitment and onboarding of coaches, referees, and volunteers.
  • Assist sports directors with background check processes and training documentation.
  • Help coordinate staff meetings, training sessions, and seasonal planning.
  • Maintain strong communication with: YMCA sports staff Volunteer coaches Parents and participants Community partners
  • Respond to sports program inquiries and assist with issue resolution.
  • Support marketing efforts for sports programs through coordination with YMCA marketing teams.
