We are seeking an organized and detail‑oriented Senior Administrative Assistant to provide general administrative support to multiple Qnity Science and Innovation teams (e.g. Sustainability, Product Stewardship and Regulatory, Emerging Technologies) and based in Wilmington, DE at the Experimental Station. Day-to-day responsibilities include managing schedules, handling communication, preparing documents, organizing files, coordinating events, managing office supplies, assisting with financial tasks, and providing support to team members to ensure efficient office operations. This is an on-site role.

Requirements

  • 10+ years of previous experience in administrative support roles
  • Strong organizational skills and attention to detail
  • Ability to manage multiple routine tasks and deadlines
  • Professional written and verbal communication skills
  • Experience with SAP and/or SRM
  • Concur/Expense Management System
  • Proficiency in Microsoft Office Suite: Outlook (calendar and meeting management) Word (document preparation) Excel (basic spreadsheets and tracking) Teams (virtual meetings and file sharing) SharePoint (site and document management)

  • Capital ordering experience a plus
  • Experience supporting meetings, training sessions, or office events
  • Experience maintaining shared electronic files and document libraries
  • Comfort working with internal distribution lists and recurring communications

Responsibilities

  • Deliver comprehensive administrative support to facilitate smooth and efficient office operations.
  • Manage calendars and schedule meetings, ensuring all related logistics are addressed seamlessly.
  • Maintain up-to-date distribution lists and shared files, as well as manage basic spreadsheets to track essential information.
  • Prepare routine communications and reminders to keep team members informed and organized.
  • Coordinate training sessions and staff meetings, ensuring that arrangements are well-organized and accessible to participants.
  • Assist with purchasing processes, travel arrangements, and managing office supply inventories to meet daily operational needs.
  • Design and maintain SharePoint sites and their content to enhance collaboration and information sharing among team members.
  • Provide administrative support for the recruiting process (communicating with candidates, scheduling interviews, assisting with travel arrangements) and manage on-boarding tasks for new employees and contractors (computer, space, badge access, IT assets).
  • Support the planning and execution of Qnity Science and Innovation led events (e.g. Techcon poster session), training sessions, and workshops, as well as local team events, workshops, and meetings held on site.
  • Provide occasional backup support for executive-level administration, ensuring continuity and professionalism in high-priority tasks.
