About The Position

The Opportunity: We are looking for an accomplished Senior Administrative Assistant to provide day-to-day administrative support to Commercial Vice President positions. This position is based at Mattel headquarters in El Segundo, CA. What Your Impact Will Be: Process invoices, expense reports, and related budget activities Manage the Purchase Order process and approvals for the team Create PowerPoint decks, Excel spreadsheets, and other charts/materials Manage calendar for the VPs, including scheduling meetings and calls based on changing priorities Email/call coverage, booking meeting rooms, supplies management, filing, mail Ongoing project and task management Collaborate constructively with assistants and staff within and outside the North America Commercial team, including C-suite executive assistants Arrange travel including air, hotel, ground transportation Observe and help improve administrative practices Communicate to external partners as needed

Requirements

  • Ideally at least 5 years administrative assistant experience, including experience supporting multiple executives and/or large teams of VP’s/Directors/Managers
  • Must be computer and technology savvy (advanced working knowledge in MS Office -- Outlook, Word, Excel and Power Point) – and must be comfortable learning new software and troubleshooting MS Office challenges
  • Success working in a fast-paced, high energy professional environment
  • Proactive in managing tasks, projects, and deadlines
  • Anticipate needs of supervisors, and able to professionally handle changing priorities
  • Excellent interpersonal skills and ability to work collaboratively with a broad range of work styles and personalities
