About The Position

Oversee the planning, implementation, and delivery of Registrar's services and student/academic information to the University community, including compliance reporting, production of data queries and reports, the registration process, the grading process, production of diplomas, and general system coordination. Completes mandatory state and federal surveys of student and academic data and fulfills compliance requirements. Oversees implementation of new functionality and systems involving student or academic data. Liaison role within and outside the Registrar's Office to assure that technical services are responsive to the needs and policies of the academic community. Accountable for the security of student data as guided by FERPA regulations. Oversees development and delivery of FERPA and system training. Supervises two exempt positions: Manager of Reporting and Communications and Graduation Manager.

Responsibilities

  • System Coordination: Stays current on Banner Student system, understanding forms in the Student, Faculty and Event modules, and understands tables and rules behind forms. Tracks system defects and changes in functionality in Banner Student module and coordinates with appropriate members of Registrar’s Office and university community to test and modify relevant business processes. Troubleshoots system problems, conducting appropriate research and coordinating solutions with Information Systems. Works directly with assigned programmers. Requires analysis of problems with jobs and/or reports before seeking additional support and providing programmers with complete analysis of the problems and possible resolutions. Supports on-going implementation of the Banner Student module by developing test plans, coordinating processes and procedures related to testing new release versions, table maintenance, and evaluation of various functionalities. Help develop new reports, processes and update functions in conjunction with Information Systems to support the Registrar’s Office. Acts as Registrar’s Office liaison with Information Services and Administrative Systems Team. Serves as project lead for implementation of new systems and functionality. Acts as Registrar Office representative as university purchases other systems that link to Banner. Works with IS to load FERPA-appropriate student information into other systems. Oversees testing of upgrades of non-Banner systems. Oversees Registrar’s Office web page. Serves as staff technology expert staying abreast of changes in technology that can serve the needs of the office and suggesting changes to improve productivity and efficiency.
  • Student Information-System Responsibilities: Reviews requests and grants approval for access to student-related forms, jobs and/or processes in Banner to ensure a legitimate educational interest exists, while providing suggestions for other data sources. Oversee on-10% going maintenance of system tables. Develops and performs audits to verify accuracy of standard institutional reports and integrity of data produced by Registrar’s Office processes. Conduct required annual audit of Banner Student permissions as mandated by University Information System security policy. Coordinates with internal auditors on required system and process reviews. Understands security requirements for data and the Banner system, making recommendations for added security when necessary. Implements and interprets academic policies. Builds and assigns cohorts for entering students for tracking purposes to fulfill University’s Student Right to Know obligations.
  • Data Support for University's Compliance Reporting: Serves as primary data provider from Banner Student Module for the University. Prepares, extracts, and validates student data for the State Council of Higher Education for Virginia (SCHEV) and the Integrated Postsecondary Education Data System (IPEDS) in accordance with state and federal guidelines. Oversee coordination of various extracts of student system data including enrollment and graduation information to the National Student Clearinghouse to comply with Federal reporting requirements. In conjunction with the Office of Financial Aid and the Bursar’s Office, prepares, extracts and validates student data for Gainful Employment Reporting. Pulls data to support Registrar’s Office role in NCAA reporting and Academic Compliance of Athletics. Serves as the data manager for student module data in the Blackboard Analytics data warehouse. Ensures integrity of student data in the data warehouse. Reconciles student data discrepancies between Banner and the data warehouse.
  • Training: Oversees development and delivery of FERPA training, both online and in-person. Coordinates technical training of new systems and functionality.
  • Reporting: Oversees production of ad hoc data queries and reports from the Banner Student system, using population selection, Object: Access and other query tools. Pulls student lists from Banner to be used for survey administration based on specific criteria as required for each survey. Programs and extracts data from Banner in response to ad hoc queries. Develop reports in MicroStrategy to support University’s data needs, including the creation of enrollment census reports, academic major reports, academic capacity, degree award reports, graduation and retention rate reports, faculty load reports, study abroad reports, etc. Develops and manages business intelligence solutions for the Registrar’s Office and its constituents, including the creation of dashboards and reports using MicroStrategy. Supports academic offices with reports on majors and minors. Supports Academic Advising Resource Center and Dean’s Offices with course demand analysis. Ensures distribution of student information according to federal, state and University guidelines.
  • Degree Works Technical Support: Provides technical support for the University’s online degree audit system (DegreeWorks). Coordinates upgrades with Information Systems and academic processes. Uses DegreeWorks tables to produce reports to support enrollment planning.
  • Registration Process and Grading Process: Oversees Student Information Specialist in set-up and execution of all registrations for the five University schools and non-credit divisions. Partners with Associate Registrar for Scheduling to coordinate resolution of course/schedule registration-related issues. Oversee Waitlist process in Banner. Coordinates with Bursar to resolve billing issues arising during registration. Maintains statistics on registration activity. Oversees grade processing for credit and non-credit schools. Oversee development of audit processes to ensure accuracy and integrity of grade processing.
  • Other: Serves as a member of the Registrar’s Office management team. Responsible for understanding and complying with the University of Richmond’s Family Educational Right of Privacy Act (FERPA) Policy on confidentiality of student records. Additional duties may be assigned to meet the goals of the Registrar’s Office specifically and the University of Richmond generally. Assists with graduation-related activities as needed, to include working Commencement weekend.
