As a Sr. Clinic Practice Assistant, you’ll provide essential patient scheduling support across vascular surgery, stepping in where coverage is needed and ensuring seamless access to care. Rather than being assigned to specific providers, you’ll work collaboratively across teams and play a key role in keeping clinics running smoothly when primary Clinic Practice Assistants are out. This position offers the opportunity to use your skills where they matter most—supporting patients and surgical care teams every day. Job Summary Summary Performs administrative functions to support smooth and efficient clinical service and practice operations. Performs administrative duties related to patient visits including scheduling, check-in, check-out duties (performs all duties of the other levels at highest proficiency level). Make patient appointments and maintain appointment records. Assist callers with routine inquiries and triage matters appropriately. Process patient billing forms and scan documents to patient medical record (EPIC). Acts as "Super User" for scheduling, registration and billing systems. Provides assistance and training to others in these areas. May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level. Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results. Additional responsibilities as assigned.

Requirements

  • High School Diploma or Equivalent required
  • 3-5 years office experience required
  • Strong technology and MS Office skills – Advanced Outlook, Word, Excel, PowerPoint
  • Knowledge of office operations and standards and understanding of office procedures including filing, copying, scanning, printing and faxing.
  • Ability to use phone system and manage more non-routine phone calls and solve routine issues as appropriate.
  • Communicating effectively in writing as appropriate for the needs of the audience and Talking to others to convey information effectively.
  • Understanding written sentences and paragraphs in work related documents, to correspond and communicate with others clearly and effectively (including composing/editing e-mail, memos and letters), and to take complete and accurate messages.
  • Managing one's own time and the time of others.
  • Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems.
  • Ability to proofread and edit written documents.
