Metra is one of the largest and most complex commuter rail systems in North America, serving Cook, DuPage, Will, Lake, Kane, and McHenry Counties. The agency is linking communities in Northeastern Illinois by providing safe, reliable, and efficient commuter service. The Supply Chain Operations Division consists of Materials Contract Administration and Storehouse Operations. The purpose of the department is to serve various customers within Metra. Managing the continuous supply of parts materials and services required to support Engineering, Mechanical and Transit Operations. Additionally, the department operates Metra’s four storehouses and is responsible for managing Metra’s fuel and P-Card programs. Reporting to the Mgr, Non-Revenue Fleet Management, the Fleet Maintenance Coordinate, coordinates the maintenance and repair of agency owned and leased support vehicles; reviews and prepares complex vendor invoices and purchase orders for payment; and maintains work log of vehicle history and maintenance files.

Requirements

• Associates degree in Business, Office Administration, or related discipline OR in lieu of degree, any combination of education and experience may be substituted for the required degree that equals two (2) years in fleet or materials management or office administration.
• In addition to #1 above must have a minimum of two (2) years of fleet or materials management or office administration experience.
• Good knowledge of payment processing.
• Some knowledge of vehicle repair, maintenance, and preventative maintenance methods.
• Some knowledge of vehicle parts and materials.
• Good written and verbal communications skills.
• Good analytical and organizational skills.
• Proficient in Microsoft 365 (Word and Excel).
• Ability to work collaboratively in a team-oriented environment or independently.
• Ability to develop and maintain relationships with vendors, internal customers, and department administrators.
• Ability to react to changing priorities promptly and efficiently.
• Must be available to work flexible hours in the early morning, late afternoon, evenings, or weekends.

Responsibilities

• Work with end user departments and approved vendors to provide maintenance and repair services for agency owned and leased vehicles.
• Update and maintain database tracking the status of maintenance and repairs, repair estimates, and vendor payment; and prepare related reports.
• Review invoices for contract compliance and pricing, resolve discrepancies, approve for payment, and directly process credit card payments.
• Schedule vehicles for federal, state, local and Federal Railroad Administration safety inspections, and conduct field visits to confirm inspections were conducted and vehicles are in compliance.
• Prepare cost estimates, specifications, and related documents for formal requisitioning for vehicle maintenance and repair.
• Promote safe work practices and maintain and foster a safe work environment.
• Perform other related duties as assigned to meet the ongoing needs of the organization.
