The IT Project Portfolio Manager is responsible for enterprise‑level portfolio reporting, transparency, and governance, providing the Leadership Team with accurate, timely, and decision‑ready insight into all project and non‑project work. This role ensures portfolio data integrity, financial visibility, risk transparency, and leadership‑level reporting to support prioritization, investment decisions, and accountability.

Requirements

  • 10+ years in project/program leadership, clinical technology delivery, or enterprise portfolio management for digital transformation
  • Strong project planning, execution, and governance capabilities
  • Experience managing cross‑functional teams and complex dependencies
  • Financial acumen with experience managing project budgets and forecasts
  • Ability to influence without authority and drive accountability
  • Demonstrated proficiency in Planview (system of record) and working knowledge of Jira and Smartsheet for portfolio and delivery reporting
  • Exceptional communication and interpersonal skills, with proven ability to influence executive stakeholders and drive alignment.
  • Proven skill in creating concise, highly executive ready decks, translating complex data into clear, decision focused narratives and visuals
  • Strong attention to data accuracy, completeness, timeliness, and audit readiness, including timesheet and financial data integrity
  • This is a remote position based in the USA; relocation and visa sponsorship are not available.

Responsibilities

  • Responsible for portfolio level reporting and transparency in Planview, covering all projects, programs, and non-project work.
  • Ensures visibility into all intake (project and non-project), with work appropriately classified and reflected in portfolio views.
  • Provides consolidated portfolio reporting to leadership, including overall status and health, demand versus capacity indicators, financials and forecasts, and key risks, issues, and dependencies.
  • Maintains a single source of truth for portfolio reporting, contracts, and executive materials.
  • Provides portfolio level capacity and utilization reporting using Planview data across project and non-project work.
  • Reports on demand versus available capacity, identifying constraints, overallocations, and systemic bottlenecks.
  • Ensures capacity reporting reflects actual time and effort, supported by accurate and timely timesheet data.
  • Identifies utilization trends (e.g., sustained overload or underutilization) to inform leadership decisions related to staffing, funding, or reprioritization.
  • Ensures timesheet data completeness, accuracy, and timeliness in Planview or integrated time tracking systems for reporting purposes.
  • Responsible for delivering regular portfolio reporting to Leadership and Executive Teams.
  • Develops concise, executive ready reporting artifacts, including narratives, visuals, and summaries suitable for senior leadership audiences.
  • Maintains portfolio level visibility of key risks, issues, and dependencies, including cross initiative impacts.
  • Ensures ownership and status information is current and accurately reflected in Planview and leadership reporting.
  • Maintains visibility into contracts, statements of work, renewals, and amendments, ensuring leadership awareness of commercial commitments.
  • Monitors portfolio spend against approved budgets and escalates risks of budget overruns, funding gaps, or cost pressures through established governance channels.
  • Provides reporting on invoice and payment readiness, identifying approval bottlenecks or discrepancies to support on time vendor payments.
  • Reports on vendor performance and commercial risks, escalating concerns as appropriate.
