We’re hiring a Senior Proposal & Grants Coordinator to help manage and execute a growing portfolio of public-sector, innovation, cleantech, and economic development funding opportunities. We are open to breaking the portfolio up into a few part time/contractor type opportunities or bringing on someone in-house. This role is not a pure grant writing role, it is at the intersection of project management, relationship management and proposal execution. Having experience with grant writing or academic writing is a nice to have but it’s more about the soft skills around proposals. This is a hands-on role with real ownership of a critical to revenue delivery. You’ll ensure proposals move forward cleanly, deadlines are met, requirements are addressed, and the right story is told. You’ll interface with key people involved in the potential projects as well as funding partners, developing relationships and proactively seeking information, clarity and support.

Requirements

  • 5+ years experience in proposal coordination, grant management, or funding-related roles
  • Demonstrated experience managing proposals and funding application process
  • Strong understanding of the proposal process including how applications are assessed in or order to accurately speak to what a funder is actually looking for and positioning,
  • Strong written communication and editing skills (without needing to be the sole writer), a background in academic writing or having thesis based masters degree is ideal.
  • Experience working with public-sector, innovation, cleantech, or infrastructure funding is a strong asset
  • Comfort working directly with clients and senior stakeholders
  • Strategic framing — positioning projects to resonate with funder priorities
  • Identifying missing criteria before a proposal is submitted
  • Managing timelines and dependencies across multiple applications
  • Reusing and reshaping content effectively across funding programs
  • Strong project management instincts in complex, deadline-driven environments

Responsibilities

  • Coordinate multiple grant and funding applications in parallel. This includes helping us vet through potential opportunities and identify which are the best fit
  • Manage timelines, inputs, dependencies, and submission requirements
  • Track proposal status, follow-ups, and outcomes
  • Identify risks, gaps, or missing criteria early and drive resolution
  • Review funding criteria and ensure proposals are aligned to program priorities
  • Translate funder requirements into clear direction for contributors
  • Ensure proposals answer the required questions and speak to the required areas
  • Adapt and reshape core project information across multiple applications
  • Consulting with subject matter experts, refine language to align with program criteria and evaluation rubrics
  • Ensure clarity, consistency, and completeness across all proposal sections
  • Support reuse and adaptation of content across applications
  • Contribute to proposal writing and editing where appropriate
  • Interface directly with clients, internal teams, and partners
  • Gather and synthesize input from subject matter experts
  • Build effective working relationships with program officers and funders
  • Navigate deadlines and constraints with professionalism and tact
