Work involves planning, coordinating and performing work in human resources support, travel, training, records management, purchasing, and fleet management. Performs duties as member of a team providing administrative support and technical assistance to the Laboratory Business Operations Unit and Public Health Laboratory Division. Works under the general supervision of the Staff Services Group Manager in the Laboratory Business Operations Unit, with moderate latitude for the use of initiative and independent judgment.

Requirements

  • Knowledge of system and agency policies and procedures related to human resources, travel, training, purchasing, fleet management, and records retention; the methods, principles, and practices of the agency; and office management and administration.
  • Skill in the use of a computer and applicable software (i.e., Adobe Acrobat, Outlook, Word, Excel, PowerPoint, Visio, Microsoft Teams and SharePoint) to store and share information and collaborate with others; in oral and written communication; in proofreading and editing documents; in problem solving; and in prioritizing and handling multiple tasks.
  • Ability to explain policies and procedures to staff; to maintain confidential and sensitive information; to establish and maintain effective working relationships; to create and maintain a filing system with complex records; and to communicate effectively. Ability to establish priorities and meet deadlines. Ability to prepare comprehensive, concise and accurate reports.
  • Must possess a valid Class C Texas Driver’s License or equivalent license from another state.
  • Experience in staff services officer functions, including human resources support or personnel activities, travel, fleet management, coordinating assignments, open records requests, and/or security rights (badge, computer, etc.).
  • Experience using Microsoft Office, including Outlook, Excel, PowerPoint, Teams, SharePoint and Word.
  • Experience in providing technical assistance and administrative support to management or staff.
  • Experience preparing reports, presentations and/or documents for upper management review.

  • Prefer experience in working with confidential records or information.

Responsibilities

  • Provides human resources support and technical assistance.
  • Serves as the Lab Travel Coordinator and liaison with the DSHS Travel Office and the Lab Fleet Manager and liaison with the HHSC Fleet Management Office (FMO).
  • Coordinates tracking system for PHLD staff training and professional development.
  • Provides administrative support to the Laboratory Business Operations Unit as requested.
  • Responds to requests for open records.
  • Performs other duties as assigned.
