Job Summary: Location: Methodist Hospital Address: 8303 Dodge St, Omaha, NE Work Schedule: Monday-Friday, 8:00am to 4:00pm Provides strategic scheduling support to multiple hospital nursing departments to ensure optimal staffing and utilization of the patient care team; generally supports nursing leadership to achieve operational improvement and labor cost reduction.

Requirements

  • High School Diploma or General Educational Development (G.E.D.) required.
  • Minimum of 3 years administrative experience required.
  • Experience interacting with various levels of leadership and staff.
  • Ability to develop strong relationships through email, text and phone.
  • Acute attention to detail.
  • Ability to exercise excellent judgment and diplomacy in all interactions.
  • Ability to prioritize work and possess professional sense of accountability.
  • Ability to show independent thinking, analysis, and problem solving capabilities.
  • Strong written and verbal communication skills.
  • Proficiency in business software applications (Outlook, Excel, Word, PowerPoint) and comfortable with new technologies and software.

Nice To Haves

  • Prior experience as a staffing or scheduling coordinator preferred.
  • Prior healthcare experience preferred.
  • Medical terminology preferred
  • Experience with Kronos preferred.

Responsibilities

  • Maintains and manages department schedules. Generates shifts for each schedule period. Manages, prints & distributes misc. timesheets to each unit. Verifies schedule and shift requirements are met for all staff once they self-schedule. Adds incentive shifts once they’ve been approved for staff. Actively works to balance staffing across shifts to ensure adequate coverage. Makes daily edits as needed. Monitors future staffing and proactively resolves concerns while maintaining communication with managers.
  • Processes PTO requests according department and organization guidelines. Maintains record of employee PTO utilization as directed. Follows-up with staff when insufficient PTO hours are available ahead of requested leave. Collaborates with managers when conflicts arise.
  • Assists department manager when onboarding of new employees. Enters schedule pattern, scheduling group, and holiday requirements. Trains new staff on self-scheduling, transferring hours, approving timecards, etc. Assist staff in downloading and using mobile scheduling app, if desired.
  • Demonstrates proficiency with computer software to produce reports, graphs, databases, forms, correspondence and other documents as requested by leadership. Prints staffing sheets daily for administrative coordinator. Generates and shares monthly reports detailing labor utilization.
